In this role, you support site selection, acquisitions, and portfolio decisions by turning market data, financial modeling, and stakeholder insights into clear, actionable recommendations. You’ll work in a hybrid environment, collaborate with facilities and clinical teams, and build the foundation for a long term career in real estate strategy. The Real Estate Specialist operates as a senior individual contributor, overseeing routine and moderately complex lease renewals, amendments, and landlord interactions across Stanford Health Care, Stanford Medicine Children's Health, Stanford Health Care Tri-Valley, and Stanford Medicine Partners. As a shared service, this role ensures continuity of critical facilities, protects organizational interests in negotiations, and maintains accurate portfolio data to support enterprise-wide real estate strategy. The Specialist provides input to operational goals and may lead small projects or initiatives within the real estate function.

Requirements

  • Strong analytical and financial modeling skills (Excel, market tools like CoStar)
  • Clear communication and visual storytelling (PowerPoint)
  • Comfort working with ambiguity and multilayered data
  • 3-5 years’ experience from consulting, brokerage, project management, corporate or healthcare real estate
  • Three (3+) to five (5+) plus years in Real estate, leasing, or property management experience; strong communication and organizational skills is required.
  • Strong organizational skills with attention to detail and ability to manage multiple priorities.
  • Proficiency in Microsoft Office Suite (Excel, PowerPoint, Word); experience with SharePoint, Teams, or similar collaboration tools a plus.
  • Strong written and verbal communication skills, with the ability to prepare polished deliverables.
  • Ability to track deadlines, manage workflows, and ensure follow-through on team commitments.
  • Service-oriented mindset with a proactive approach to supporting team efficiency.
  • Collaborative and flexible, with the ability to work effectively across diverse Real Estate and business operations teams.

Responsibilities

  • Conduct market research and comparative site analysis to support acquisition decisions
  • Build reports, dashboards, and presentation materials for leadership
  • Join site tours with facilities teams to evaluate real world opportunities
  • Support negotiations by organizing data, financials, and documentation
  • Translate incomplete or ambiguous (“nebulous”) information into clear insights
  • Manage routine lease renewals, amendments, and option exercises to ensure uninterrupted occupancy of critical facilities.
  • Track key lease dates and obligations, coordinating with Lease Administration and internal stakeholders to ensure timely execution.
  • Support due diligence activities for standard transactions, including document review, site walkthroughs, and coordination with brokers and legal counsel.
  • Draft and review lease abstracts, summaries, and approval materials, ensuring accuracy and completeness.
  • Prepare governance packages for renewals and amendments, confirming compliance with approval requirements.
  • Serve as an external-facing representative in day-to-day interactions with landlords, brokers, and property managers.
  • Build and maintain positive landlord relationships to position Stanford Medicine entities as a preferred tenant and counterparty.
  • Escalate complex or high-value matters to the Senior Specialist or Director while ensuring continuity in communication.
  • Partner with internal teams to align documentation and financial tracking with executed agreements.
  • Support the Senior Specialist and Director in preparing materials and responses for executive stakeholders.
  • Monitor assigned submarkets, keeping current on local rental rates, landlord practices, and broker activity.
  • Gather intelligence from brokers and landlords to surface trends, risks, and opportunities relevant to upcoming renewals.
  • Provide input to the Real Estate team on competitive activity and shifting market dynamics in support of broader portfolio strategy.
  • Contribute data and insights to inform leadership on renewal negotiations and planning.
  • Maintain accurate, audit-ready records in the Real Estate Database, including lease terms, key dates, and landlord contacts.
  • Ensure transaction files, approvals, and supporting documentation are organized and compliant with governance standards.
  • Track critical deadlines (renewal notices, amendment approvals, expirations) and proactively flag potential risks.
  • Adhere to established templates, SOPs, and documentation standards to promote consistency and reliability in reporting.
  • Assist with the preparation of concise, high-quality materials for leadership and governance bodies.
