Team Kelli Lang RE/MAX Gateway, Washington's #1 RE/MAX team, is seeking a Listing Coordinator to support our growing real estate business. While we prefer an in-office team member, remote candidates will be considered for the right fit. This role is ideal for someone with real estate experience, MLS knowledge, or a strong administrative background who enjoys solving problems, managing moving pieces, and staying several steps ahead. We are looking for a proactive professional who can confidently take ownership of the listing process and help ensure every property launches successfully. As our Listing Coordinator, you will oversee the journey from signed listing agreement to active market status. You'll coordinate timelines, manage listing information, prepare pricing materials, work with vendors, and ensure every detail is accurate, compliant, and completed on schedule. Nice To Haves

  • MLS and Washington State real estate contract experience preferred
  • Previous experience in real estate, transaction coordination, administration, or a customer service role preferred
  • Experience with Authentisign, ShowingTime, Follow Up Boss, or similar real estate platforms is a plus

Responsibilities

  • Maintain and update real estate systems and databases, including CTE, Follow Up Boss, Nekst, and Paperless Pipeline, ensuring accuracy and consistency
  • Prepare, organize, and monitor listing paperwork using Transaction Desk and Authentisign
  • Act as the primary point of contact for sellers during the pre-listing process, providing guidance and clear communication throughout each step
  • Enter and verify MLS listing information, photos, documents, and marketing remarks while ensuring compliance and attention to detail
  • Schedule and coordinate staging, photography, signage installation, lockboxes, and other listing-related services
  • Communicate effectively with title companies, escrow officers, vendors, agents, and internal team members to keep timelines moving smoothly
  • Track listing progress from contract signing through market launch and maintain accurate internal records
  • Provide a professional, concierge-level experience that helps clients feel informed, supported, and confident
  • Ensure all listings meet brokerage, MLS, and local association requirements
  • Continuously look for opportunities to improve systems, workflows, and efficiency
  • Identify potential challenges early and take action to resolve them before they impact the client experience
  • Support the team's commitment to exceptional service and operational excellence
