About The Position

The Real Estate Property Coordinator of Aleut Real Estate (ARE) is responsible for leading and overseeing all property management and operational functions across ARE’s portfolio. This role ensures operational efficiency, compliance with real estate laws, and excellence in tenant relations, while supervising the operations team and coordinating with internal and external stakeholders. The Property Coordinator develops and executes strategies to optimize property performance, streamline processes, and support the General Manager in achieving organizational goals.

Requirements

  • High School Diploma or GED required.
  • Three (3) years of experience working in an office, administrative, facilities, property management, or related setting, or any combination of experience, education, and training in a related field of work.
  • Valid driver's license required.
  • Must maintain automobile insurance in accordance with company requirements when using a personal vehicle for local business travel.
  • Deep knowledge of real estate laws, property management, leasing, and transaction processes.
  • Proven leadership and team management skills; ability to supervise, coach, and develop staff.
  • Strong communication and interpersonal skills for internal and external stakeholder engagement.
  • Proficiency in Microsoft Office Suite; experience with property management software preferred.
  • Strong analytical and problem-solving abilities, with a focus on operational efficiency and process improvement.
  • Ability to multitask, prioritize, and work effectively in a fast-paced environment.

  • Experience supporting commercial property management, facilities operations, vendor coordination, or tenant services.
  • Experience using property management, work order, access control, security camera, or vendor portal systems.

Responsibilities

  • Support day-to-day operations across assigned commercial properties, ensuring facilities are well-maintained and operational standards are met.
  • Perform routine site visits and property inspections to identify maintenance needs, safety concerns, and required repairs.
  • Oversee facilities service requests and work orders from intake through completion, ensuring timely resolution and follow-up.
  • Serve as a primary operational contact for tenants, vendors, contractors, and facilities personnel.
  • Coordinate contracted vendor services (e.g., janitorial, HVAC, landscaping, snow removal, security, utilities) and ensure service levels meet expectations.
  • Draft and distribute management-approved tenant communications regarding building updates, scheduled maintenance, service disruptions, or holiday schedules.
  • Maintain current directory lists for tenants, vendors, utility providers, and emergency contacts.
  • Provide general administrative support, including document preparation, file maintenance, mail distribution, and office supply management.
  • Review, code, route, and track operational invoices and recurring billing statements for management approval.
  • Maintain structured physical and digital filing systems for vendor contracts, warranties, operational records, and department procedures.
  • Administer tenant/vendor portals, building management software, and security/access control systems (keys, fobs, visitor access).
  • Coordinate building access requests and assist with basic user training or troubleshooting for access systems.
  • Assist with building improvement and capital projects, serving as a point of contact for contractors, utilities, and internal teams.
  • Provide lease administration support, including maintaining accurate lease files, tracking critical administrative dates, and routing legal documentation.
  • Perform other administrative and operational duties as assigned to support overall property management goals.
