About The Position

The Real Estate Portfolio Specialist supports the management of the national real estate portfolio of Lanter Delivery Systems and its affiliates and serves as the primary owner of day-to-day portfolio operations. The role coordinates portfolio administration, facility management, transaction support, and M&A real estate integration while partnering closely with Operations, Finance, Legal, landlords, brokers, and third-party service providers. This is an exciting opportunity for an organized and curious professional to build on their existing commercial real estate experience, collaborate with partners across the business, and gain broader exposure to lease administration, facilities coordination, M&A integration, and real estate transaction support.

Requirements

  • Associate's or bachelor's degree in real estate, business administration, finance, or a related field, or an equivalent combination of education and relevant experience in commercial real estate.
  • At least three years of commercial real estate, corporate real estate, lease administration, transaction coordination, facilities, vendor management, or related experience.
  • Strong organizational skills, attention to detail, and ability to manage multiple priorities while collaborating with internal and external partners.
  • Proficiency with Microsoft Excel and PowerPoint and experience working with databases or other business systems.
  • Ability to review and summarize basic lease provisions and other business documents, identify key information, maintain confidentiality, and communicate clearly.

Nice To Haves

  • Experience supporting commercial real estate, lease administration, transactions, or facilities for a multi-site organization.
  • Experience using real estate portfolio management or lease administration systems, such as CoStar Real Estate Manager.
  • Use of enterprise AI tools in a business setting.

Responsibilities

  • Maintain accurate and organized portfolio records, including leases, amendments, license agreements, certificates of insurance, vendor documents, and related correspondence in designated systems and shared files, following applicable confidentiality and access requirements.
  • Track critical dates, lease obligations, upcoming decisions, and other portfolio milestones, and prepare recurring reports for review.
  • Review lease abstracts, rent reports, and portfolio data, coordinate with the third-party lease administration provider, research discrepancies, and support corrections to keep information accurate and current.
  • Coordinate rent, ACH, vendor setup documentation, and approved communications with the appropriate stakeholders.
  • Serve as the primary Real Estate point of contact for routine facility issues, coordinating with Operations, landlords, contractors, insurance partners, and vendors on repairs, quotes, certificates of insurance, lease responsibility, and capital expenditure tracking.
  • Support and coordinate new locations, renewals, relocations, amendments, license agreements, and terminations by maintaining transaction timelines, preparing standard business documents, coordinating brokers and internal stakeholders, tracking approvals, and supporting execution.
  • Conduct market and rent research and prepare property comparisons, financial analyses, side-by-side evaluations, and approval materials in Excel and PowerPoint.
  • Support real estate integration for affiliates and acquired businesses, including lease-document collection, abstraction, critical-date onboarding, landlord/assignment coordination, overlap analysis, building readiness, and integration tracking.
