About The Position

Robert Colello Associates at eXp Realty is seeking a highly reliable, warm, and thorough Real Estate Operations Manager to support their clients and team. This role is crucial for maintaining the genuine trust and client-focused culture that has defined Robert Colello's real estate business for over two decades. The ideal candidate will have a passion for operational excellence, a knack for managing transactions seamlessly, and a commitment to providing exceptional client experiences. You will be responsible for managing the entire transaction process from contract to close, owning the CRM system, supporting the team, and protecting Robert's time to focus on relationships and growth. This position requires a proactive individual who finds satisfaction in well-run systems and ensures clients feel completely taken care of, even when Robert is running behind.

Requirements

  • 2+ years supporting a top-producing real estate agent or team in transaction management, operations, or a similar role.
  • CRM proficiency.
  • Strong follow-through.
  • Valid CA driver's license.
  • Reliable vehicle for work-related tasks.
  • Ability to commute within a 40-minute drive to North Park, San Diego, CA.
  • Daily access to a personal vehicle you can drive for work-related tasks.
  • Valid driver's license and insurance.

Responsibilities

  • Manage transactions from contract to close, including coordinating escrow, managing timelines, communicating with vendors, handling repair requests, and keeping clients informed.
  • Own and manage the CRM, ensuring all leads, past clients, and referral sources are followed up with and never forgotten.
  • Coordinate listing management from contract to market, including vendors, staging, photography, MLS, and showing schedules.
  • Manage Robert's calendar and priorities, filtering what needs his attention, preparing information, and protecting his time for relationship-building and growth.
  • Provide team support as the connective tissue for a small, close-knit team, ensuring daily communication, shared systems, and that each person has what they need.
  • Document and improve Standard Operating Procedures (SOPs) by identifying gaps and creating solutions.
  • Coordinate client appreciation activities to support the referral-based business.
