About The Position

The Office Coordinator serves as the face of Palmetto Bluff Real Estate Company and is the primary point of contact for visitors, prospects, members, and business partners. This role is responsible for creating a welcoming and professional office environment while supporting the day-to-day administrative, operational, and organizational functions of the real estate office. The ideal candidate is highly organized, service-oriented, proactive, and thrives in a fast-paced environment. This individual will oversee front office operations, meeting coordination, vendor communication, inventory and supplies, and administrative support for the sales and marketing teams, while ensuring an exceptional experience for all guests and team members.

Requirements

  • Two to three years of experience in a similar position.
  • Excellent written communication skills as well as professional phone skills with excellent customer service.
  • Ability to organize, prioritize, meet deadlines and multi-task in fast-paced environment.
  • Strong technical skills and mindset to leverage database and workflow-oriented software.
  • Proficient in Microsoft Outlook, Word, PowerPoint and Excel and Google applications.
  • Able to work independently and in a team environment.
  • Ethical, conscientious and dependable work ethic.
  • Time management, multitask, phone skills, friendly, enthusiastic, job ownership/responsibility, adaptable to various personalities/situations, approachable demeanor and professional image.
  • Constant and close visual work at computer.
  • Constant sitting and working at desk.
  • Frequent verbal and written communication with staff and other business associates by telephone, correspondence, or in person.
  • Ability to stand, stoop, bend and lift.
  • Must possess mobility to work in a standard office setting and to use standard office equipment, including a computer, stamina to maintain attention to detail.
  • Vision to read printed materials and a computer screen, and hearing and speech to communicate in person and over the telephone.

Nice To Haves

  • Real estate office experience is a plus.
  • Experience with Salesforce CRM, Propertybase or Hubspot a plus.
  • Obtain notary certification within an approved timeframe.

Responsibilities

  • Serve as the first point of contact for all guests, members, prospects, and vendors.
  • Maintain a welcoming, polished, and professional office environment.
  • Manage front desk operations, visitor flow, and incoming communications.
  • Coordinate conference room scheduling and meeting setup.
  • Ensure lobby, gallery, and refreshment areas are maintained and presentation-ready at all times.
  • Manage office supplies, refreshments, sales collateral inventory, and operational ordering.
  • Coordinate service requests and vendor relationships related to office equipment, phones, IT, HVAC, and facility needs.
  • Assist with onboarding logistics for new team members within the sales, marketing, and operations teams.
  • Coordinate setup and materials for weekly sales meetings and team functions.
  • Maintain organization of office systems, files, and administrative workflows.
  • Process, manage, and reconcile operational invoices and administrative expenses.
  • Ensure membership and member services teams are supplied with current sales materials and information.
  • Support the sales and marketing teams with events, guest visits, mailings, and special projects.
  • Utilize CRM database applications to input new leads, schedule appointments, track activities, and coordinate property showings and tours.
  • Serve as the first point of contact for inbound walk-ins generated through real estate campaigns by qualifying interest, managing initial communications, tracking attribution, and routing leads appropriately.
  • Assemble and ship information packages and materials to prospects and guests.
  • Support discovery visits and guest experiences as needed.
  • Maintain sales collateral and presentation inventory.
  • Serve as a notary public, or obtain notary certification within an approved timeframe.
  • Coordinate scheduling, fueling, maintenance, cleanliness, and readiness of sales vehicles and carts.
