About The Position

Vanderbilt University Medical Center (VUMC) is seeking a Real Estate Analyst to support the administration of its lease portfolio and other real property matters overseen by the VUMC Office of Real Estate. This role involves processing incoming checks, managing document control for review, and handling the distribution of documents up until execution. The analyst will also process service agreement invoices for payment, support full-time lease renewals and sublease needs, and assist with property management resolutions with third-party property owners, which may require travel to sites. VUMC Real Estate serves as the central point of contact for expertise in leasing, property acquisition and sales, and oversight of third-party landlord property management for VUMC and affiliated entities. This includes setting up rent payments and reviewing annual reconciliations for all portfolio leases.

Requirements

  • Bachelor’s Degree
  • 3 years of relevant work experience
  • Understanding of lease structure including common economic components of leases
  • Written Communication (Advanced): Demonstrates the ability to write clear, detailed, and comprehensive status reports, memos and documentation. Demonstrates an understanding of effective composition, such as having first line in a paragraph state the subject.
  • Database Knowledge (Intermediate): Knowledge and understanding of a database and how data is organized so that its contents can easily be accessed, managed, and updated.
  • Verbal Communication (Advanced): Ability to enunciate clearly, using appropriate voice control and body language. Effectively transmits technical and business ideas and information to others. Listens carefully to ascertain points being made before trying to be understood.
  • Contract Negotiations (Intermediate): Demonstrates an understanding of negotiating skills such as building trust, gaining commitment, managing the opposition and maintaining goodwill. Realizes the need for mutual concessions and accommodations and negotiates with others for resources, actions or buy-in to maximize collaborative outcomes.
  • Real Estate Contracts (Advanced): The preparation, monitoring and management of the contracting processes well as individual contracts. May include contract specifications, evaluation of bid proposals, and purchase requisitions.
  • Document Auditing (Intermediate): Auditing is conducting an independent review and examination of records and activities in order to test the adequacy and effectiveness of procedures, policies, standards, rules, capabilities and other aspects to ensure compliance with established policy and operational procedures, and to recommend any necessary changes.
  • Documentation (Advanced): Ensures that all documentation is complete, accurate, thorough, and compliant.

Responsibilities

  • Sets up rent for new and/or renewed full-time leases as well as part-time leases
  • Research and responds to rent questions (both internally and externally)
  • Assists with resolving property management issues
  • Implements and maintain various tracking tools for the office
  • Sets up and processes service agreements
  • Performs the centralized responsibility for transaction management which includes but is not limited to generating trackers and prioritization schedules for moving documents through internal review; signature; and distribution
  • Participates in generating all documentation needed to close out files; and cooperates with other team members in the organizational system for storing such documents (both electronic and copy)
  • Must be prepared to travel by car to conduct property tours and site follow-up, as needed, for property management matters as this position will support all of the Vanderbilt Health related matters in the field
