About The Position

At Stony Brook Medicine, the Radiology Scheduler is responsible for the daily scheduling of patients and exams for Radiology and Vascular Lab using the hospital-approved scheduling systems, RIS Scheduling and Cerner Enterprise Wide Scheduling systems (EWS). This role involves performing all duties associated with the process, including but not limited to insurance authorizations and coordinating scheduling and needs for various services.

Requirements

  • Associate’s degree and at least 1 year of customer service experience in a medical/healthcare setting or, in lieu of a degree, at least 2 years of customer service experience in a medical/healthcare setting
  • Critical thinking, problem solving skills, with excellent organizational skills
  • Ability to multi-task and pay close attention to detail.
  • Ability to work as an efficient team member
  • Superior written and expressive communication skills
  • Successfully complete pre-employment physical examination and obtain medical clearance from Stony Brook Medicine's Employee Health Services
  • Complete electronic reference check with a minimum of three (3) professional references.
  • Successfully complete a 4 panel drug screen
  • Meet Regulatory Requirements for pre employment screenings.
  • Provide a copy of any required New York State license(s)/certificate(s).

Responsibilities

  • Coordinating high volume, complex linked scheduling for various appointment types in RIS and EWS scheduling book for the Radiology department.
  • Ensuring patient appointments, including pre-admission testing and follow-up appointments with referring physicians, are managed effectively.
  • Rescheduling pre-admission testing appointments and exams to maintain patient flow within the department.
  • Providing patients with necessary instructions for their exam(s), such as fasting, directions, and earlier arrival times.
  • Ensuring patient compliance with appointments.
  • Monitoring and following up on “no show” patients to identify and escalate patient compliance issues.
  • Frequent rescheduling and re-coordination of patient’s exams, pre-admission testing, main OR scheduling book, and pediatric procedure book appointments.
  • Coordinating with multiple physicians within the hospital and from outside facilities, disseminating pertinent information to patients and staff.
  • Reviewing patients' EMR to locate prescriptions for exams, authorizations, pending authorizations, or any notes pertaining to the scheduling of exam(s).
  • Creating encounters for all anesthesia and pediatric appointments.
  • Communicating with supervisors and technicians daily regarding protocol changes or equipment upgrades that could hinder the scheduling of certain exams.
  • Answering phone calls from the scheduling queue in a timely and courteous manner, making outbound phone calls, and receiving orders from various physicians via email and fax.
  • Obtaining necessary pacemaker forms from referring physicians’ offices within 30 days of the patient’s exam, and obtaining a new form if the exam is rescheduled.
  • Navigating websites to order Nuclear Medicine dosages for exams.
  • Identifying patients with financial needs and facilitating their connection to the financial navigation team.
  • Using the department of radiology and hospital’s managed care guide to determine if a patient’s insurance is par or non-par.
  • Advising patients on the need for authorizations prior to their exam.
  • Using the 'refer a patient' website to accurately transfer all patient information to the CPMP department to obtain authorizations for Stony Brook hospital and its offsite locations.
  • Navigating the radiology scheduling pool for orders and prioritizing the urgency of exams.
  • Responding to inquiries, taking messages, and/or forwarding them to the appropriate area for resolution.
  • Using translator services to schedule appointments and arrange for translator services for patient arrivals.
  • Maintaining adequate office supplies.
  • Communicating issues with hardware or software to the Radiology IT department.
  • Maintaining the strictest confidentiality and adhering to all HIPAA guidelines and regulations.
  • Maintaining a professional appearance, an organized and clean workspace, and adhering to department policies and procedures.
  • Completing annual physical, recertification, compliance, and all other required training programs as needed and assigned.
