About The Position

This position serves to organize and manage administrative support for several Radiation Safety Committees, including the Radioactive Drug Research Committee (RDRC), Committee on Ionizing Radiation (CIR), Committee on Ionizing Radiation for Human Use (HuCIR), and Laser Safety Committee (LSC). These committees are responsible for reviewing research involving radioactive drugs, radioactive materials, radiation-producing machines, and lasers to ensure regulatory compliance. Additionally, the role provides administrative support to the Radiation Safety Division of EHS, including managing training programs, the dosimetry program, invoicing, website content, and generating compliance reports.

Requirements

  • A bachelor’s degree in public health, public administration, social/behavioral sciences, physical sciences, nursing, healthcare, finance, accounting, business administration, business, or a directly related field from an accredited institution and 1 year of professional level experience managing research studies.

Responsibilities

  • Planning, coordinating, and staffing committee meetings, including developing agendas, arranging logistics, and ensuring quorum.
  • Serving as the recorder for committee meetings, transcribing minutes accurately from notes and recordings, and ensuring compliance with federal standards.
  • Entering meeting results and voting outcomes into appropriate databases.
  • Ensuring committee policies and procedures are consistently applied to all submitted applications.
  • Coordinating review and approval of research protocols involving ionizing radiation.
  • Serving as the primary point of contact for researchers regarding forms and processes for approval of research involving radioactive materials.
  • Assisting with pre-review of applications and prioritizing protocols for review.
  • Assisting with preparation for audits of research facilities and internal audits of radiation safety committees for regulatory compliance.
  • Managing all administrative aspects of receiving incoming applications and supporting documents.
  • Checking shared email accounts daily for incoming applications and responding to inquiries.
  • Saving all applications and supporting documents as electronic files.
  • Entering pertinent data from applications into databases and spreadsheets.
  • Serving as a resource to faculty and research staff for committee process-related questions.
  • Assisting in the development and publication of committee policies, administrative procedures, and website content.
  • Managing and coordinating radiation safety training, including following up on overdue training and scheduling in-person sessions.
  • Managing and processing requests for the dosimetry program, including new requests, cancellations, and tracking missing dosimetry.
  • Creating and sending out radiation safety invoices for services such as instrument calibration and waste pickup.
  • Maintaining and updating the Radiation Safety page of the EHS website.
  • Generating radiation safety reports (e.g., Instrument calibration, sealed source inventory, audits) to assist the Radiation Safety team in maintaining compliance.
  • Coordinating with team members and researchers to schedule pickups and meetings.
  • Performing other administrative duties related to the radiation safety program as assigned.
