About The Position

The Quality Materials & Inventory Specialist is responsible for the oversight and control of consumable inventory, material flow, and supply coordination within the Quality department. This role ensures continuous availability of critical materials to support Quality operations, preventing operational disruptions due to material shortages while maintaining compliance with Good Manufacturing Practices (GMP) and controlled environment standards. The position directly supports operational continuity, audit readiness, and regulatory compliance by ensuring material availability, inventory accuracy, and adherence to GMP requirements within the Raw Material Sampling Suite and clean room environments. This role works cross-functionally with Quality, Operations, vendors, and management to support compliant material handling, purchasing coordination, inventory accuracy, and clean room readiness.

  • Proficiency in Microsoft Office; Excel is preferred for inventory tracking, metrics, and reporting.
  • Knowledge of FDA, CFR, GMP, and controlled environment requirements related to material handling and documentation.
  • Familiarity with clean room operations, gowning requirements, material flow, and contamination control practices.
  • Ability to maintain audit-ready documentation and support internal, customer, and regulatory inspections.

  • Experience with Quality Management Systems, Learning Management Systems, Warehouse Management Systems, ERP systems, and/or inventory tracking systems preferred.

Responsibilities

  • Own and manage inventory of consumables, supplies, and materials for the Quality department.
  • Ensure no disruption to Quality operations through proactive inventory management and replenishment.
  • Maintain inventory accuracy and material availability to support Quality operations, sampling activities, and compliance readiness.
  • Monitor stock levels, usage trends, and initiate replenishment as needed.
  • Perform cycle counts, reconcile discrepancies, and maintain high inventory accuracy.
  • Maintain organized, compliant storage systems aligned with GMP requirements.
  • Stock and replenish consumables across the stockroom, Raw Material Sampling Suite, and controlled environments.
  • Ensure materials are properly labeled, stored, and handled in accordance with GMP standards.
  • Maintain material readiness to support sampling, testing, and Quality operations.
  • Identify and escalate inventory discrepancies, shortages, expired materials, substitutions, or documentation concerns.
  • Ensure materials are staged and available to support clean room operations, including garments, PPE, disinfectants, and consumables.
  • Maintain cleanliness, organization, and compliance of the Raw Material Sampling Suite.
  • Gown and operate within the Sampling Suite and controlled environments as required.
  • Stage and transfer materials through the material airlock while following contamination control procedures.
  • Ensure all materials meet handling, labeling, quality, and specification requirements prior to use.
  • Maintain and improve consumables inventory tracking systems.
  • Analyze usage trends and recommend inventory levels, reorder points, and controls.
  • Ensure accurate tracking, reporting, and visibility of inventory data.
  • Support the development and improvement of inventory management processes to improve readiness and prevent stockouts.
  • Review logbooks and inventory records for accuracy, completeness, and compliance.
  • Maintain compliance readiness by ensuring proper documentation and adherence to SOPs.
  • Ensure all material movements are properly recorded and traceable.
  • Support internal audits, customer audits, regulatory inspections, and inspection readiness activities.
  • Support deviation investigations related to material discrepancies, inventory issues, and GMP non-conformances.
  • Assist with CAPA implementation and follow-up actions to ensure effective resolution of material-related quality events.
  • Initiate or support change control activities related to inventory processes, material flow, or system improvements.
  • Ensure deviation, CAPA, and change control documentation is accurate, complete, and audit-ready.
  • Partner with Quality leadership to identify material-related trends and support continuous improvement.
  • Monitor material needs and initiate purchasing activities for Quality department supplies and consumables.
  • Communicate with vendors regarding pricing, availability, lead times, order status, and delivery timelines.
  • Support procurement for internal Quality operations and customer-related material requirements.
  • Coordinate purchasing activities with management approval prior to order placement.
  • Track orders, deliveries, backorders, substitutions, discrepancies, and supply issues to ensure timely material availability.
  • Ensure vendor-supplied materials support raw material sampling, clean room, and QA operational needs.
  • Verify that ordered supplies and consumables align with approved material specifications before use in Quality operations.
