About The Position

Under the general supervision of the Quality Control Manager or designee, this position assists with analyzing and auditing data and information that is being entered and/or changed in the Assessor’s Office databases to ensure an error-free environment. This role adheres to NM State statutes and IAAO Industry best practices, ensuring all incoming correspondences are logged for tracking and analysis. The trainee will learn to audit computer system data and supporting documents to identify and correct issues, maintain records, and provide feedback to personnel. The position also involves assisting with maintaining and revising agency policy and procedures, collaborating with other departments on quality control measures, retaining historical information, and preparing reports for management. Additionally, the role supports the annual audit process, assists office staff with customer service, attends training, and completes assigned projects and duties.

Requirements

  • Knowledge of computers and electronic data processing.
  • Working knowledge of modern office practices and procedures.
  • Ability to learn various word-processing, spreadsheets, database and other software programs in a Windows environment including Proval, Ascend, AS400, and Pictometry.
  • Ability to work in a dynamic environment with changing priorities and critical deadlines.
  • Ability to independently plan, prioritize and organize work.
  • Ability to multi-task and work with minimal supervision.
  • Ability to be extremely organized.
  • Ability to focus on detail and ensure no mistakes in calculations by self and co-workers.
  • Ability to handle confidential material in a trustworthy manner.
  • Ability to learn how to present information clearly and concisely, both verbally and in writing.
  • Ability to establish effective and tactful working relationships with associates and the public.
  • Ability to learn how to analyze data and produce reports.
  • High school diploma or GED.
  • Two (2) years of experience in professional work environment providing administrative office support.
  • Education may substitute for experience on a year for year basis.
  • Must be able to successfully complete I.A.A.O. course 101 within the one-year probationary period.
  • Selected candidate must submit to and pass a County paid pre-employment physical and drug/alcohol screening.
  • Selected candidate must submit to and pass a county paid criminal background screening.
  • Selected candidate must possess and maintain a valid New Mexico Class D Driver’s License.
  • Shall be required to sign a “Confidentiality and Non-Disclosure” agreement upon employment.

Responsibilities

  • Ensures corrective actions are addressed in a timely manner.
  • Maintains records effectively and provides feedback to Assessor’s Office personnel to correct anomalies.
  • Assists with maintaining and revising agency policy and procedures.
  • Collaborates with other departmental staff to assist with quality control measures.
  • Retains historical information to identify obvious errors and anomalies.
  • Assists with preparing reports for supervisors to monitor and improve efficiency in the assessment process.
  • Assists with the annual audit process as requested.
  • Assists other staff within the office to ensure quality customer service.
  • Attends meetings, seminars, workshops, and training as requested.
  • Assists the Quality Control Manager with projects as needed.
  • Completes all training as designated or assigned.
  • Performs other duties as directed or assigned.
