About The Position

The QA Records Administrator is responsible for ensuring maintenance records and supporting documentation for aircraft, engines, and auxiliary power units (APUs) are complete, accurate, accounted for, and properly maintained. This includes inspection records, maintenance documentation, service bulletins, service letters, Airworthiness Directives (ADs), parts documentation, FAA Form 337 records, and other pertinent maintenance paperwork. The role supports accurate records tracking, electronic and hard-copy filing, and data entry within applicable maintenance systems.

Requirements

  • High school diploma or equivalent.
  • Proficiency in data entry and strong attention to detail.
  • Demonstrated proficiency with Microsoft Office Suite, including Outlook, Teams, Excel, Word, and PowerPoint.
  • Excellent interpersonal, written, and verbal communication skills.
  • Ability to multitask, prioritize work, and manage time effectively.
  • Ability to work accurately and efficiently under pressure.
  • Ability and flexibility to work variable shifts, including evenings, nights, weekends, and holidays, as business needs require.

Nice To Haves

  • Three to five years of aviation experience in a military or commercial environment.
  • Airframe and Powerplant (A&P) Certificate.
  • Experience with aviation maintenance records and maintenance tracking systems.
  • Knowledge of Veryon, Bluetail, Airtable, and workflow automation tools.

Responsibilities

  • Ensure all tracked inspections, maintenance activities, and parts are accurately updated in the records tracking system at all times.
  • Ensure electronic copies of completed work are attached to the applicable computerized maintenance tracking work order.
  • Ensure items identified in Chapters 4 and 5 for airframe, engine, APU, and other components are tracked in accordance with applicable maintenance manuals and planning documents.
  • Maintain hard-copy records in the correct aircraft binder and verify that all required paperwork is accounted for.
  • Enter corrective actions for open non-routine items in Veryon.
  • Enter and maintain required documentation in Bluetail.
  • Support accurate, complete, and audit-ready maintenance records in accordance with company procedures and applicable regulatory requirements.
  • Assist with training incoming team members and recurrent training of current staff, as needed.
  • Perform other related duties as assigned.
