About The Position

The Quality Assurance and Compliance Specialist supports the organization’s commitment to quality, compliance, and service excellence by coordinating internal audits, monitoring adherence to legislative and accreditation standards, and supporting continuous quality improvement initiatives. This role works closely with the operations team to promote consistency in documentation, audit practices, and service delivery standards across programs. Through audits, reviews, and ongoing monitoring, the Lead identifies risks, tracks corrective actions, and provides guidance to support compliance with Ministry requirements, accreditation standards, and organizational policies within the developmental services sector. Requirements

  • Post-secondary education in Social Services, Developmental Services, Child & Youth Work, Health Services, or a related field (minimum diploma required; bachelor’s degree preferred), or an equivalent combination of education and relevant experience
  • Minimum 3–5 years of experience in developmental services, with experience in quality assurance, compliance, audits, or program supervision
  • Strong knowledge of QAM, MCCSS standards, and accreditation processes (FOCUS, CARF)
  • Experience with ISP, Behavioural Support Plans, and documentation compliance
  • Strong analytical, organizational, and problem-solving skills
  • Excellent communication and ability to work across teams
  • Proficiency in Microsoft Office Suite
  • Ability to travel as required

Responsibilities

  • Coordinate and schedule internal audits across programs and service locations
  • Conduct comprehensive audits (on-site and electronic systems such as ShareVision), including program records, individual files, and location documentation
  • Review Individual Support Plans (ISP), Behavioural Support Plans, and related documentation to ensure alignment with Ministry standards and person-centred practices
  • Participate in medication cabinet audits in collaboration with the Direct Support Supervisor
  • Support consistent documentation and record-keeping practices in alignment with organizational policies
  • Maintain up-to-date knowledge of legislative and regulatory requirements, including Quality Assurance Measures (QAM), MCCSS standards, and relevant Acts
  • Support accreditation readiness activities, including audit preparation, documentation collection, and evidence submission
  • Conduct gap analyses to assess compliance with accreditation standards and identify areas for improvement
  • Maintain audit tools, templates, and checklists to support consistent audit and accreditation processes
  • Support preparation for external reviews, inspections, and accreditation activities
  • Identify compliance risks, gaps, and areas of concern through audits and program reviews
  • Develop, implement, and evaluate corrective actions to address identified gaps, ensuring effective resolution and sustained compliance
  • Design and implement tools and processes to support ongoing gap identification, tracking, and resolution
  • Continuously monitor outcomes, reassess effectiveness, and refine corrective actions and tools to drive continuous improvement
  • Analyze audit findings to identify trends, systemic issues, and areas for improvement
  • Escalate significant risks, non-compliance, or unresolved issues to the Manager, Quality Assurance
  • Prepare and maintain reports summarizing audit outcomes, risk levels, and compliance status
  • Ensure continuous improvement cycles are documented and aligned with audit and accreditation requirements
  • Act as a resource and provide guidance to staff and supervisors on quality assurance practices and compliance requirements
  • Provide education and support on ISP development, documentation expectations, and audit readiness
  • Support program teams in implementing corrective actions and quality improvement initiatives
  • Promote consistency, accountability, and continuous improvement across programs
  • Participate in supervisor meetings, committees, and cross-functional initiatives related to quality and compliance
  • Support the implementation of quality assurance initiatives led by the Manager of Quality Assurance
  • Stay current on legislative, regulatory, and sector best practices
