About The Position

The Quality and Regulatory Compliance Specialist supports, maintains, and continuously improves the company’s Quality Management System (QMS) and processes to ensure compliance with internal quality requirements, customer specifications, applicable regulatory standards, and third party certifications. This role is essential in driving a culture of quality, coordinating internal and external audits, supporting certification efforts, and ensuring that product quality and food safety standards are consistently upheld across all operations.

Requirements

  • Five or more years of experience in a document control role in a manufacturing environment, preferably within printing, packaging, or related industries.
  • Two or more years of compliance / regulatory / quality assurance in a food packaging manufacturing role.
  • Strong attention to detail with the ability to identify and resolve quality issues.
  • Solid reasoning and problem solving skills, including root cause analysis.
  • Proficiency with computers and common software applications (e.g., Microsoft Office, QMS platforms).
  • Ability to manage multiple priorities and meet deadlines in a fast paced environment.
  • Effective communication skills and the ability to work collaboratively across departments.
  • Sit or stand at a workstation for extended periods.
  • Use hands, wrists, and fingers frequently for typing, writing, and handling office materials.
  • Walk through production areas as needed, navigating around equipment and active work zones.
  • Occasionally bend, reach, or lift office supplies or files weighing up to twenty five (25) pounds.
  • Move safely between office and production areas, which may involve exposure to noise, temperature variations, or dust.
  • Visually review documents, screens, and data for extended periods.
  • Wear required PPE when entering production areas (e.g., safety glasses, hearing protection, high visibility vests).
  • Comply with all company safety policies, procedures, and PPE requirements, especially when entering production areas.
  • Participate in required safety and compliance training relevant to office and production adjacent work.
  • Follow safe travel practices in operational areas, including staying within designated walkways and observing posted warnings.
  • Immediately report observed unsafe conditions, equipment issues, or incidents in office or production areas.
  • Maintain an ergonomic, organized, and hazard free workspace to support safe and efficient operations.
  • Secure confidential and sensitive documents in accordance with company policy.

Responsibilities

  • Maintain and improve the company’s QMS in alignment with ISO 9001, BRCGS Packaging, FSC, and other applicable certifications.
  • Oversee document control processes, including creation, revision, distribution, and archival of QMS documentation.
  • Ensure proper document retention and audit readiness.
  • Manage preparation for Management Review meetings, ensuring accurate reporting and follow up on action items.
  • Ensure systems compliance with FSC Chain of Custody (CoC), BRCGS Packaging, and ISO 9001 standards.
  • Maintain and improve HACCP / product safety programs, ensuring compliance with food safety requirements for packaging materials.
  • Participate in risk assessment activities.
  • Monitor and verify food safety controls, including GMPs, allergen management, and sanitation practices.
  • Prepare Declaration of Conformance and Letter of Guarantee documentation as required.
  • Track regulatory changes and assess impact on operations.
  • Support training initiatives related to food safety, quality standards, and regulatory requirements.
  • Plan, conduct, and document internal audits to verify compliance with established procedures and standards.
  • Support and participate in external audits by certification bodies, customers, and regulatory agencies.
  • Collaborate with Process Owners to ensure procedures are followed and updated as needed.
  • Identify opportunities for process improvement and support cross functional teams in implementing corrective actions.
  • Track training activity related to all system documents.
  • Generate required evidence of training activity for audits.
  • Maintain a clean, organized, and safe work environment in accordance with company policies.
  • Contribute to team goals by supporting additional quality related tasks as required.
