About The Position

Vetio Santé Animale is a pharmaceutical company for veterinary products engaged in the research, development, and manufacturing of medicines (CDMO). We integrate product development with large-scale pharmaceutical manufacturing through a Quality-by-Design approach. Our mission is to improve the health of animals. This is to develop and manufacture safe products whose quality and compliance meet the highest industry standards. This position consists of assisting the supply chain team in the purchasing of all materials and distribution. The incumbent will be responsible for managing end-to-end logistics documentation for the finished product process, receiving materials, and coordinating inventory.

Requirements

  • 1-3 years procurement/logistics experience; experience with import/export paperwork and customs preferred.
  • Familiarity with incoterms, export controls, customs documentation, and international shipping procedures.
  • Experience with SAP and strong Excel skills.
  • Attention to detail, strong organizational skills, and ability to manage multiple priorities.
  • Good communication and interpersonal skills; able to work cross-functionally.
  • Basic understanding of inventory control, lead-time management, and sourcing strategies.
  • Demonstrates a pro-active approach; strong problem-solving skills.
  • Bilingual (French & English)

Responsibilities

  • Manage the entire purchasing process for assigned categories: review purchase requisitions, obtain quotes, issue purchase orders, and confirm deliveries.
  • Maintain and enforce approved supplier lists, supplier documentation, certificates of analysis (CoA), and qualification records.
  • Monitor inventory levels and coordinate reorder actions with planning to prevent stockouts and minimize excess.
  • Track order status, expedite critical deliveries, and manage supplier performance issues and corrective actions.
  • Prepare, review, and manage domestic and international shipping documentation (commercial invoices, packing lists, bills of lading, airway bills, certificates of origin, customs declarations, incoterms).
  • Liaise with freight forwarders, customs brokers, 3PLs, and carriers; track shipments and expedite as needed.
  • Ensure compliance with import/export regulations, customs requirements, and company policies.
  • Reconcile shipping documentation with POs and supplier invoices; support AP and resolve discrepancies.
  • Maintain procurement and logistics records, support audits, and produce regular reports on spend and shipment status.
  • Support supplier performance monitoring (KPIs), corrective actions, and improvement initiatives.
  • Ensure procurement activities meet GMP and internal SOP requirements; support QA/QC during supplier audits and inspections.
  • Maintain accurate procurement records in ERP/MRP systems (SAP/ Excel) and prepare regular procurement reports and metrics.
