About The Position

We are seeking a full-time Purchasing Coordinator with 3-5 years in experience in purchasing. The Purchasing Coordinator (PC) is a central figure in the purchasing process throughout the firm. PCs will be experienced handling a variety of tasks including purchasing, procurement, expediting, documentation, and coordination. They will be skilled in transferring and sharing information as they will act as a point-person of communication with vendors, contractors, and our warehouse. PCs will meet with the designer, coming prepared to the meeting with accurate and up-to-date reports so the designer can ensure everything is aligning with other aspects of the project. PCs should have a positive, can-do attitude, and feel comfortable researching situations and providing ample information for others.

Requirements

  • Bachelor’s degree
  • 3-5 years experience in purchasing
  • Proficient in Microsoft Suite
  • Excellent written and verbal communication
  • Developed organizational skills
  • Understanding of the purchasing process
  • Expertise in the organization of purchasing deadlines, lead time changes, pricing changes, vendor and contractor follow up
  • Proven ability to coordinate many items into a concise delivery schedule

Nice To Haves

  • Experience in Interior Design a plus
  • Experience working with Studio Designer a plus
  • Initiative and ownership of tasks
  • Ability to “jump-in” and eager to learn and provide support to staff
  • Comfortable following up with vendors and contractors, especially when professional assertiveness is necessary

Responsibilities

  • Purchase all approved specified furniture, materials, and labor (sub-contractors).
  • Manage the ordering process: order product, manage follow up /tracking & updating Studio Designer.
  • Adjust invoices as needed (shipping costs, resourced items, removals, receiving warehouse), update POs as needed and update proposals per designer.
  • Assist with managing and/or collecting information on damages, claims with vendors, and repairs.
  • Maintain relationships with vendors/manufacturers.
  • Check in deliveries to our office.
  • Manage the delivery and installation schedule with designer by scheduling trades, deliveries, installs (with the approval of the designer), and managing the communication between all concerned parties.
