About The Position

The Purchasing Coordinator 1 is responsible for creating and processing purchase orders, managing travel requirements, ensuring the accuracy of each order, monitoring capital budget spending, and ensuring contract processing compliance. Our hybrid work schedule requires team members to be in the office four days per week, with the flexibility to work remotely one day each week.

Requirements

  • Minimum 3 years related experience and/or training or combination of degree and experience
  • Proficient in Microsoft Excel
  • Excellent written and oral communication skills that demonstrate a proven ability to develop relationships with a range of internal and external customers
  • Excellent planning and organizational skills
  • Ability to read and interpret documents such as safety rules, operating and maintenance instructions, and procedure manual
  • Ability to write routine reports and correspondence
  • Ability to apply common sense understanding to carry out instructions furnished in written, oral, or diagram form

Nice To Haves

  • Bachelor’s degree or Associates preferred.
  • Accounting experience preferred
  • Prior experience managing Travel requirements for an organization preferred

Responsibilities

  • Create and Place Purchase Orders for Products and Services
  • Audit Aging Reports and special Projects where necessary.
  • Works with the deployment team and other departments to book travel for large groups of travelers over extended periods of time. This may require reserving blocks of rooms, rental cars or catering for startups, deployments or large meetings.
  • Create existing process documentation and prepare control documentation - Flowcharts, policies, and procedures
  • Reconciles American Express, direct bill hotels and rental car invoices and code all invoices for Accounts Payable.
  • Researches unpaid invoices as necessary
  • Maintain knowledge of Purchasing contracts, purchasing processes - Workflows and best practices
  • Prepares financial reports for month end close process.
  • Process invoices for AP and reconcile invoice discrepancies
