About The Position

Toromont Cat is looking for a Purchasing Analyst to join their team in Concord. This is a full-time, permanent position with a compensation range of $49,845.00 – $62,305.00. Requirements

  • Bilingual, English and French
  • College or University Degree in accounting or administration combined with 3 - 5 years of relevant experience
  • 2-4 years of experience in equipment management, and/or procurement, purchasing, supply chain
  • Strong proficiency in Microsoft Excel, data analysis skills, managing multiple data sites
  • Excellent written and verbal communication skills for vendor communications and internal reporting
  • Highly organized with attention to detail

  • Experience with ERP and procurement systems (e.g., Sensaas) is an asset
  • Ability to analyze TCO, understanding of contract terms, pricing structures, and vendor scorecards is an asset

Responsibilities

  • Manage end-to-end fleet lifecycle activities across multiple systems, including DBS, Sensaas, Holman, and Geotab.
  • Coordinate budget planning processes, ensuring accurate setup and alignment of branch, cost center, prefix, fuel card, vehicle files, and auxiliary data.
  • Prepare and manage capital expenditure (CapEx) requests, including year-end CapEx pre-close activities.
  • Execute administrative fleet cycle functions, including invoice processing, asset and fuel tracking, driver profile creation, and fuel card setup and management during the project management stage.
  • Maintain alignment across fleet management information systems, ensuring data accuracy and consistency.
  • Oversee vehicle delivery and licensing processes, validating billing, shipping details, and applicable taxes; manage vendor invoice matching against quotes and ensure proper invoice coding and submission in Sensaas to release payments.
  • Lead CapEx closure activities, including verification of prime products, work orders, supplementary funding, invoice reconciliation (CapEx vs. AP), asset and contact data alignment, GPS verification, CapEx reallocation, and management of associated project, support, and truck movement files.
  • Manage vehicle disposal activities, proactively identifying disposal opportunities based on defined parameters and collaborating with branch operations on planning, documentation, and logistics.
  • Support vehicle sales and disposal processes with Holman and Finance, including G/L requests, debit and credit note creation, DBS packing slips and invoices, closure of prime products and work orders, cheque handling, and maintenance of disposal tracking documentation.
  • Administer the Intranet Disposal Forms portal, ensuring timely and accurate processing.
  • Coordinate inter-branch vehicle transfers, managing DBS prime products and work orders, updating prefixes, UKG cost centers, driver profiles, addresses, asset codes, auxiliary data, and handling CapEx reallocations for transferred vehicles; provide licensing guidance to branches.
  • Produce and maintain monthly fleet reports and status tracking for lifecycle activities and key fleet data.
  • Cross-train to support and execute additional fleet team functions, including project master file maintenance, vendor and material workflows, invoice and file management (e.g., Geotab, Highway 407, upfitters, transport providers), licensing and renewals, fuel card administration, inspections, weight and violation tickets, insurance documentation coordination, applicable tax processing, and preparation of Powers of Attorney (PoA).
  • Serve as a point of coordination for vendor and transport communications and manage all Intranet Fleet forms.
