About The Position

AECOM Tishman is seeking an entry-level Purchasing Agent to be based at a client’s site in New York, NY. This role involves assisting with the planning and coordination of sub-contractor activities, overseeing construction crafts/trades, and working under continual supervision. The position requires technical and operational direction from a Superintendent or Project Manager, enforcement of policies, and assistance with the AECOM Tishman safety program. Key duties include managing document control systems, project management systems, and other software to maintain accurate information flow, including updating drawings, RFIs, submittals, and meeting minutes. The Purchasing Agent will interface with clients, architects, and design professionals to ensure compliance with design intent and client satisfaction, and contribute to building strong communication between field management, project management, subcontractors, suppliers, vendors, and specialty contractors. Continuous professional development and training are expected to enhance individual and team innovation and productivity. Specific tasks include prequalifying bidders, preparing bid packages with all necessary riders (scope of work, drawings, specs, alternates/unit prices, bond forms, insurance documents, MWBE/Local rider, safety rider and manual, logistics plan), sending out bid packages, opening bids, attending site walks, participating in scope review meetings, issuing addenda, attending minority outreach events, writing award letters, preparing contracts, and ensuring receipt of hard copies of bonds.

Requirements

  • Candidate must have completed Bachelor’s degree in legal studies, Paralegal, or similar fields of study with an interest in working in a procurement/purchasing agent role
  • Microsoft Office proficiency (Word, Excel, and Outlook)

Nice To Haves

  • Previous experience with contracts reviews and creation.
  • Experience working for a large general contractor.
  • Previous relevant internship experience.
  • Exposure to other construction-based computer programs.

Responsibilities

  • Assists with the planning and coordination of sub-contractor activities within the area of responsibility.
  • Assist in overseeing activities of construction crafts/trades within an assigned area of responsibility.
  • Receives continual supervision and direction in the performance of assigned responsibility.
  • Receives technical and operational direction from the assigned Superintendent or Project Manager.
  • Enforces policies, procedures and related work rules as established by Field Management.
  • Assists with compliance of the AECOM Tishman safety program that creates a safe and healthy work environment on the jobsite.
  • Work with document control systems, project management systems and other software or databases to keep information flow up-to-date and accurate including but not limited to updating drawings, RFIs, submittals, meeting minutes and other documents as required.
  • When requested, interfaces with client, architect, and design professionals to ensure compliance to design intent and client satisfaction.
  • Contribute to building good communications between field management, project management, subcontractors, suppliers, vendors, and specialty contractors to ensure construction complies with plans, specifications, and company quality standards.
  • Responsible for continuously expanding and updating professional knowledge and honing training skills in order to enhance individual and team innovation and productivity.
  • Prequalify bidders and put together bidders' list to be sent to owner for approval.
  • Put together bid packages with all the riders in there (scope of work- list of drawings and specs- alternates/unit prices - bond forms- insurance document- MWBE/Local rider- safety rider and manual - logistics plan.
  • Send out bid packages to qualified bidders and open bids when they are due.
  • Attend walk-thrust in the field.
  • Participate in scope review meetings, issue addenda for revisions of scope and pricing.
  • Attend minorities' outreach events.
  • Write award letter to the client once trade is awarded.
  • Put together the contract once award letter is signed.
  • Make sure to receive hard copies of bonds once contract is executed.
