About The Position

APN Consulting, Inc. is seeking a temporary Publication Administrator for a 6-month contract position in Piscataway, NJ. This hybrid role will provide assistance and support to the clients Signal Processing Society (SPS) in the receipt, database management, review, and timely publication of journal manuscripts. The administrator will also provide first-level support for users of clients electronic publishing applications and tools. The role involves working with publications, supervised interaction with volunteers and staff to facilitate the timely peer review process for SPS publications. The position reports to the Senior Manager, Publications & Education Strategy and Services and functions as a contributor. This role requires independent and innovative problem-solving related to peer review and education processes, strong organization, and excellent volunteer interaction skills. High-quality written work, a positive attitude, and a professional demeanor are critical. This position has no financial authority and no direct reports.

Requirements

  • Bachelor's degree or equivalent experience
  • 2-4 years of directly related work experience
  • Experience in publishing, professional association, and/or education industry
  • Prior work experience
  • Experience working with a volunteer community
  • Excellent interpersonal, written and verbal communications, and customer service skills
  • Ability to handle multiple tasks simultaneously, track and report status of each, and meet deadlines
  • Ability to work independently, as required
  • Proficiency in Microsoft programs, especially Word, Excel, and PowerPoint, as well as Gmail and database systems
  • Experience in video editing and knowledge of related software

Responsibilities

  • Assist current society staff to support the on-line peer review process by taking on administrator responsibilities for SPS ScholarOne Manuscripts (S1M) sites.
  • Coordinate database and manuscript processing and handling.
  • Follow up with personalized emails and help facilitate the timely review of articles.
  • Track progress of reviews and work with staff/EIC to ensure timely completion by reviewers, associate editors, and authors.
  • Ensure that associate editors have sufficient information to select peer reviewers for manuscripts.
  • Use functionality of database, prepare, and maintain appropriate correspondence and notifications to system users (EICs, authors, associate editors, and reviewers).
  • Update associate editor and reviewer files in accordance with instructions from EIC.
  • Assist current society staff to ensure that all questions are answered in a timely manner.
  • Track and report on projects within an online peer review system.
  • Work with society support staff to create custom reports to help monitor and expedite progress of manuscripts in the queue, develop metrics, and monitor the overall activity of all participants.
  • Create reports using Microsoft Excel, Smartsheet, and S1M reporting tools.
  • Provide administrator support for the S1M on-line manuscript submission system, including database and manuscript processing and handling.
  • Prepare and maintain system-generated correspondence to system users.
  • Provide support for other projects under the Society's purview, as needed.
