About The Position

The purpose of this position is to perform administrative and office support activities for public health nursing and grants. Duties include fielding phone calls, receiving and directing visitors, knowledge of busy office, creating spreadsheets, conducting presentations, filing, assisting with ordering supplies, outreach, and events participation. The role requires demonstrating the Winnebago Tribe’s core mission, vision, and values, and maintaining a high level of confidentiality due to access to sensitive information. The position also involves providing outreach/home visits to clients, making appropriate referrals, and transporting clients as needed. The employee must consistently demonstrate organizational skills, follow department policies, and perform other related duties as assigned.

Requirements

  • Associate's degree in business or related field required.
  • 2 years’ clerical experience.
  • Must possess a valid driver’s license and meet driver’s eligibility guidelines.
  • Must possess computer skills that include Microsoft Office Excel, Word, Outlook, Publisher, Canva and PowerPoint.
  • Must perform all duties in a manner that ensures the strictest confidentiality due to access to sensitive information.
  • Must maintain a positive and professional attitude with the ability to effectively handle tasks, situations and clients with tact, courtesy, respect, and objectivity.
  • Must recurrently employ moral and ethical judgments.
  • Must have excellent communication skills.
  • Must keep accurate daily, weekly, and monthly reports.
  • Must possess the ability to read, write, and speak the English language fluently.
  • Must be able to continually and effectively employ professional verbal and written communications skills.
  • All applicants will comply with 45 CFR 1301, Subpart D, Section 1301.31, C and D, which require all prospective employees to sign a declaration prior to employment regarding all arrests and convictions of child abuse or violent felonies and to comply with PL 101-630 and PL 101-637 regarding criminal records check.

Responsibilities

  • Organizes, updates, and maintains various files.
  • Greets visitors, ascertains nature of business and conducts visitors to appropriate offices.
  • Answers telephone and give information to callers, or routes incoming calls to appropriate offices.
  • Maintains, coordinates, and manages flyers for marketing.
  • Collaborates, organizes, and assists with PHN events and classes for community members.
  • Makes travel arrangements relating to employee training (completes purchase orders for travel, flight bookings, hotel and transportation arrangements).
  • May make copies of correspondence or other material, using copying or duplicating machines.
  • Prepares purchase orders for PHN.
  • Maintains an excel sheet with expenditures for tracking grants and purchases.
  • Maintains files on PHN staff meetings and huddles electronically.
  • Obtains data collection and develops monthly reports for the PHN department.
  • Responsible for coordinating routine maintenance and mileage for the GSA vehicles.
  • May assist in related tribal projects with secretarial services as the need arises.
  • Provides outreach/home visits to clients in collaboration with PHN staff.
  • Makes appropriate referrals as needed to community resources, consulting with the Supervisor/Director of Public Health Nursing.
  • Transports clients as needed.
  • Attends in-service and meetings as directed.
  • Is familiar with community resources and utilizes the information.
  • Consistently demonstrates organizational skills in managing workload.
  • Consistently follows Winnebago Public health department and PHN policies and procedures and demonstrates understanding of position goals and objectives.
  • Performs other related duties as directed or assigned by direct supervisor.
