About The Position

The PTOT Registration Representative Lead serves as a role model for team members and promotes an awareness and understanding of positive ethical and moral principles consistent with the mission, vision, and values of The Christ Hospital Health Network while performing all PTOT Registration Representative functions. In addition, they are responsible for the training of new and current team members, coordinating schedules and covering in team member absences, opening and closing the office, and maintaining office equipment and supply inventory to support effective operations.

Requirements

  • Basic clerical and data entry skills required.
  • H.S. Diploma/GED required.

Nice To Haves

  • One year of medical office experience preferred.
  • Epic experience preferred.
  • Preferred knowledge of Ohio/Kentucky insurance plans.
  • Preferred knowledge of Ohio/Kentucky insurance verification processes for various insurance plans.

Responsibilities

  • Ensures new team member orientation and training is completed, taking ownership of the new hire experience.
  • Provides ongoing training to all associates.
  • Coordinates front office staff schedules, including PTOS/PTOU management and coverage, assigns tasks, and assumes responsibility of office in the manager’s absence.
  • Maintains a flexible schedule and ability travel to various sites.
  • Covers registration vacancies as staffing levels require.
  • Performs opening and closing procedures as required by site.
  • Communicates office supply needs to appropriate party.
  • Supports and embraces changing conditions in a productive manner, while encouraging others to do the same.
  • Promotes team goals and creates a trusting climate among others and within own department.
  • Maintains a collegial and cooperative relationship with Office Managers and other department leadership, working as a team to search out and implement efficiencies, economies, and best practices.
  • Greets visitors and patients.
  • Performs patient check-in and check-out including full registration, when necessary.
  • Determines and verifies all insurance coverage.
  • Completes all required paperwork as appropriate for patients.
  • Responds to patient inquiries.
  • Collects co-pays and outstanding balances. Obtains, records, and/or updates patient signatures.
  • Maintains cash drawer and reconciles balances.
  • Verifies referrals and performs pre-certifications, as needed.
  • Manages daily patient scheduling of eval and follow-up appointments, as needed.
  • Schedules appointments to optimize patient satisfaction, provider time and treatment space utilization.
  • Answers telephone and directs calls to appropriate staff.
  • Receives and routes messages, correspondence and administrative documents to the appropriate staff.
  • Performs phone system/answering service functions.
  • Follows TCH HIPPA policies to protect patient privacy and follow Information Security policies to keep patient information secure.
  • Understands and follows the Christ Hospital Health Network policies and procedures along with individual department guidelines.
  • Provides patients with information about their rights and responsibilities.
  • Performs other duties as assigned by manager.
