We are looking for a PSM Administrative Assistant to provide administrative support to the Process Safety Management group. You must be a detail-oriented, results-driven individual with a commitment to quality, accuracy and the ability to organize and prioritize workloads to meet deadlines. Excellent communication skills, both verbal and written, with a strong commitment to customer service and the ability to work in both a team environment and on self-directed tasks are necessary.

Requirements

  • 2+ years of experience in Administrative Assistance and Support
  • High School diploma or GED

Nice To Haves

  • Bachelor's degree in business administration or related field
  • 5+ years of related work experience
  • Proficient in MS Office suite
  • Computer skills in refinery-specific software (SAP, PRiSM, Enablon, SharePoint)
  • Ability to write reports, business correspondence, and procedure materials
  • Experience developing and maintain filing systems in an environment focused on government compliance
  • Proficient with telephone systems, fax machines, postage machines and copiers
  • Ability to write reports, business correspondence, and procedure materials
  • Ability to present information and respond to questions from groups of managers, clients, customers, and the general public

Responsibilities

  • Utilize Health and Safety software to support the PSM group with data collection, interpretation, management, and end use to assure federal regulatory compliance.
  • Perform all facets related to the data lifecycle including data gathering, processing, analysis, and ongoing deliverables.
  • Manage PSM Standards, Policies, and Administrative Control documents.
  • Direct telephone calls, screen mail, and coordinate meetings, presentations, and conferences.
  • Effectively and professionally communicate with all levels of the organization.
  • Compile engineering documentation on equipment and technology of processes to support PHA activities.
  • Verify consistency and accuracy of engineering documentation through cross-references with engineering files, maintenance records or other documentation sources.
  • Assist Process Hazards Analysis (PHA) Coordinator/staff with unit PHA meeting preparations.
  • Record and transcribe unit PHA, SIL and LOPA sessions.
  • Prepare reports as directed using computer software applications.
  • Assist in the preparation for various Audits and maintain required documentation.
  • Convert paper engineering documentation to computer image format.
  • Develop and maintain an efficient and compliant filing system. Monitor documentation for compliance with document retention requirements.
  • Perform other duties as needed or assigned.
