About The Position

This role involves a variety of responsibilities related to protocol, event planning, and administrative support within a USCG domain. The Protocol Specialist will be responsible for coordinating base-wide tours for distinguished visitors, leading specialized tours, escorting guests, managing itineraries, and setting up audio/visual equipment for meetings. The position also includes managing conference room schedules, recording and publishing meeting minutes, maintaining briefing materials, and planning/managing ceremonies such as retirements, promotions, and awards. Additionally, the role provides support on protocol matters, assists in hosting social functions, coordinates recognition programs, and offers administrative support to the Commanding Officer’s Secretary and other command duties. The position requires a Public Trust security clearance and US Citizenship.

Requirements

  • Two (2) years of experience of protocol and event planning. This includes applying protocol and etiquette to organize events, coordinate ceremonies, and manage receptions, while considering the status of dignitaries, military and civilian representatives, and high-ranking officials.
  • High School education.
  • Must be able to effectively communicate with customer and fulfill all duties and responsibilities as listed in the contract.
  • Must be proficient in Microsoft Office suite including, but not limited to: Word, PowerPoint, Excel, and Outlook.
  • Public Trust security clearance.
  • US Citizenship.

Nice To Haves

  • Obtain the Military/DoW Protocol Specialist certification within twelve (12) months of hire.

Responsibilities

  • Conduct ALC tours: Organizing and coordinating base-wide tours, including itineraries and transportation, for distinguished visits (i.e., Congressional staff, USCG Flag Officers, DHS Staff, other governmental agencies, etc.).
  • Conduct weekly tours (or when scheduled) for newly hired employees, visitors, and others as directed by the Command.
  • Lead specialized tours of ALC for visiting groups (i.e., civic organizations, government representatives, schools, and other designated groups).
  • Greet arriving aircraft.
  • Arrange for transportation for visitors.
  • Escort guests throughout the base complex.
  • Manage and coordinate visitor itineraries.
  • Set up and operate audio/visual equipment for meetings.
  • Manage and coordinate the schedule for the Commanding Officer’s Conference Rooms, including operating equipment, updating metric boards, and handling related tasks.
  • Attend designated meetings as directed by the CG-AIR Command, record minutes, and publish them.
  • Maintain and update weekly briefing materials.
  • Keep the Command Brief (ALC101) current and accurate.
  • Regularly attend meetings as required.
  • Plan and manage ceremonies, including retirements, promotions, awards, and other events. This includes handling invitations, scripts, speeches, and programs as needed.
  • Provide support on protocol matters, particularly with invitations, scripts, and programs.
  • Organize and assist in hosting social functions for the Wardroom (Officers).
  • Coordinate the recognition program for Enlisted Person of the Quarter, working with USCG Public Affairs, and local media.
  • Assist the CG-AIR Commanding Officer’s Secretary.
  • Assist with other ALC and Command Administrative duties.
  • Perform other duties, as assigned.
