The successful candidate for this position will play an important role on the corporate proposal team by facilitating the process of preparing proposals and RFP responses primarily focused on new business opportunities. Projects may range from small, template-based quotes to full procurement-driven Requests for Proposal (RFPs) and other RFx processes. As part of a national team, the individual will be engaged to provide support for projects across Canada according to the needs of the team. The Proposal Writer will work with cross-functional teams throughout the organization including sales teams, various subject matter experts, and members of senior leadership as required. The Proposal Writer will be responsible for developing a thorough understanding of GreenShield’s portfolio of solutions and to contribute to the tailoring of proposals to speak to the specific needs of prospective clients based on the information available.

Requirements

  • Excellent written and verbal communication skills in English (French is an asset).
  • Strong writing skills with the ability to simplify complex concepts into clear, concise material.
  • Resourcefulness, adaptability, and decisiveness in tasks and challenges.
  • An aptitude for project management and collaboration with various stakeholders.
  • Thoughtful problem-solving, coupled with confidence to present innovative ideas.
  • Ability to calmly organize and prioritize responsibilities in a deadline-driven environment.
  • Strong attention to detail, combined with an entrepreneurial mindset and customer focus.
  • Bachelor’s degree in communication, marketing, social sciences, or a related field.
  • Previous experience in communication or responding to Requests for Proposals (RFPs) and Requests for Information (RFIs).
  • Advanced computer skills in Microsoft Office applications.
  • Demonstrates a positive attitude, eagerness to learn, and ability to maintain strong internal relationships.
  • Capable of working independently while contributing to team objectives.
  • Maintains consistency in meeting deadlines without compromising quality.

Nice To Haves

  • Experience in insurance, group benefits, mental health, or related industries.
  • APMP Foundation Level certification (or above) or knowledge of APMP best practices.
  • Proficiency with proposal management tools such as Responsive (RFPIO) or Loopio.

Responsibilities

  • Complete a thorough analysis of the requirements to respond to various RFx procurement processes.
  • Act as a Project Manager to all stages of the proposal process including the coordination and leading of kick-off and status meetings, and delivering all proposals in advance of the submission deadline.
  • Mobilize key stakeholders’ contribution efficiently and in a timely manner.
  • Ensure 100% compliance with procurement requirements and the on-time submission of all proposals and RFx responses.
  • Develop clear, accurate, and compelling content to respond to the specific needs of the prospective client(s).
  • Write and edit proposals for readability, consistency, and appropriate tone.
  • Draft new content to customize responses, where appropriate.
  • Monitor and manage “look and feel” of final proposal documents by editing for style, accuracy, content and quality of language.
  • Contribute to the development and maintenance of a central database of proposal content.
  • Support coordination of non-standard proposals.
  • Collaborate on any other communication writing on an ad hoc basis.
  • Performs other duties as assigned by management.
