About The Position

This role is responsible for assisting with various aspects of proposal and business development, including overviews, RFQ/P responses, interviews/presentations, project and craftsmanship award submissions, business development collateral, trade shows/conferences, and Unanet data management. The position involves supporting the Proposal & Business Development Services team with content creation, data management, and general administrative tasks to facilitate work acquisition efforts.

Requirements

  • Associate or bachelor's degree in marketing, public relations, or communications.
  • 0-3 years of related technical marketing or business development support experience.
  • Experience using Adobe Creative Suite (InDesign, Illustrator, Photoshop, CC Library, Acrobat).
  • Experience using Office 365 programs (Outlook, Word, PowerPoint, Excel, Planner, Teams, SharePoint/OneDrive).
  • Experience using Open Asset or a similar digital asset management program.
  • Experience using Unanet or a similar customer relationship management (CRM) system.
  • Experience using AI Software (i.e., ChatGPT, Joist AI, etc.).
  • Good writing, editing, proofreading, and oral communication skills.
  • Good organizational and time management skills.
  • Ability to balance short-term deadlines against long-term goals.
  • Acute attention to detail.
  • Graphic eye/creative mindset.
  • Ability to take direction, plan tasks accordingly, and complete tasks within specified deadlines in a fast-paced environment.
  • Basic knowledge of the A/E/C industry and marketing/business development principles.

Responsibilities

  • Assist in creating, updating, and maintaining opportunity submission materials (resumes, experience, covers, dividers, etc.).
  • Assist with RFQ/P and interview submissions.
  • Assist with production tasks such as printing, binding, and mailing.
  • Prepare general overview books and intro/lunch-n-learn presentations.
  • Assist in creating, updating, and maintaining business development collateral (brochures, overviews, etc.).
  • Assist in entering and maintaining Unanet data.
  • Assist with research and development of targeted client/prospect lists.
  • Assist with crafting and sending emails to targeted clients & prospects.
  • Assist with craftsmanship and project award submissions (file setup, org charts, entry forms, etc.).
  • Maintain client reference letter files and binders.
  • Obtain updated materials such as EMR letters and certificates of insurance.
  • Conduct light edits on content for grammar and formatting adherence.
  • Provide general support to the Proposal & Business Development Services team.
  • Effectively use templates to execute work product.
  • Monitor and maintain inventory of proposal and business development materials, including placing orders.
  • Manage copier/printer supplies, maintenance, and support calls.
  • Maintain the Team's information on the Company's SharePoint page.
  • Maintain and update the Team's Workload Board and Outlook Calendar.
