This role plays a critical part in maintaining proposal accuracy, organization, and on-time delivery while ensuring alignment with brand standards and client requirements. Working closely with the Proposal Manager, Sales team, and Subject Matter Experts (SMEs), the Proposal Coordinator facilitates a smooth proposal process by coordinating inputs, tracking deliverables, and managing logistics. This position requires strong organizational skills, attention to detail, and the ability to manage multiple deadlines in a fast-paced environment.

Requirements

  • Minimum of 2 years of experience in proposal coordination, marketing, business development, or a related professional environment.
  • Strong organizational and time-management skills with the ability to handle multiple projects simultaneously.
  • Excellent proofreading, editing, and attention-to-detail skills.Familiarity with RFP processes and compliance requirements.
  • Proficiency in Microsoft Office (Word, Excel, PowerPoint); experience with Smartsheet, Teams, SharePoint, or similar tools preferred.
  • Strong written and verbal communication skills.Ability to collaborate effectively with diverse teams and stakeholders.

Responsibilities

  • Support the proposal development process by organizing, pulling, and formatting responses for Requests for Proposals (RFPs).
  • Manage the end-to-end proposal process for smaller or less complex sales and retention opportunities.
  • Assign RFP questions to appropriate SMEs and track responses to ensure timely completion.
  • Schedule and facilitate creative kick-off calls, assisting with agenda preparation and follow-up action items.
  • Review and proofread proposals and related materials to ensure accuracy, consistency, compliance, and brand alignment.Use process management tools such as Smartsheet and Microsoft Teams to track workflow, assignments, and deadlines.
  • Manage the clarification and Q&A process by tracking client questions and coordinating internal responses.
  • Coordinate submission logistics, ensuring proposals are compliant with client instructions and submitted on time.
  • Serve as a liaison between Sales, creative teams, SMEs, and operations partners to maintain clear and efficient communication.Build and maintain positive working relationships with internal stakeholders and cross-functional partners.
  • Provide execution-level support to the Proposal Manager on larger or more complex bids, as needed.
