About The Position

Trio Properties, LLC is seeking a dynamic leader with experience in the property management industry to oversee and effectively manage the operation of a Trio managed apartment community in Hartford, CT. As the Property Manager, you are directly responsible for creating extraordinary experiences of home and community for our residents. From developing innovative, cost-effective, and revenue-driving tactics to building solid owner and resident relationships, you are in-charge of establishing brand recognition for the property within the marketplace and for exceeding resident satisfaction and retention goals.

Requirements

  • Five years of Property Management experience or the equivalent.
  • Must have background in supervision and successful track record of accomplishments.
  • Highschool diploma or equivalent required.
  • Proficiency with professional software programs, Excel, Word, OneSite Rental System, or comparable management programs.
  • Possible need (20% to 25% of the time) to utilize personal transportation to inspect apartment communities and surrounding neighborhood, make trips to the bank and visit the corporate office.
  • Occasional use of a golf cart may be necessary.
  • Must have a valid driver's license and automobile insurance.

Responsibilities

  • Overseeing the property operations of an assigned community, and ensuring the community is run in an organized and efficient manner to meet TRIO standards.
  • Managing and coordinating persons, activities, and available resources to accomplish community objectives as set forth by the Regional Property Manager, Executive staff, and property owner.
  • Maximizing occupancy levels, and community values.
  • Conduct all business in accordance with TRIO policies and procedures, Fair Housing, Americans with Disabilities Act, Fair Credit Reporting Act, and all other Federal and State laws.
  • Assisting in the formulation of the property budget for each upcoming calendar year.
  • Staying within the established budget guidelines throughout the year.
  • Accurately maintaining and reporting monthly variances and narratives.
  • Ensuring all rents are collected when due and scanned in a timely manner.
  • Overseeing collections, evictions, utility cut-offs and landlord liens as required on delinquent rents.
  • Maintaining strong vendor/contractor communications concerning work scheduling, billings, and vendor relations.
  • Procuring and sending files from each vendor/contractor with current W-9s and Certificates of Insurance to property accountant.
  • Processing and submitting all invoices with the property management software for approval and payment processing.
  • Reporting all liability and community incidents to the RPM immediately.
  • Ensuring the proper paperwork for all workers’ compensation claims are complete and submitted to HR with RPM included in the correspondence.
  • Processing all lease applications; running background and credit checks, employment, and Landlord reference checks and/or managing and overseeing the Leasing Consultant or Assistant Property Manager responsible to do so.
  • Ensuring that lease files are complete and that leases are being executed properly.
  • Approving all leases on the property via property management software.
  • Being responsible for the office opening on schedule, condition of office and model apartments.
  • Attending scheduled corporate management meetings, usually held on a quarterly basis.
  • Maintaining records on all aspects of management activity on a daily, weekly, and monthly basis.
  • Submitting required reports to corporate office on a weekly and monthly basis.
  • Performing any additional reports, duties, or tasks as assigned by Senior Management.
  • Updating the following information daily: move ins/outs; notices to vacate and occupancy trends; lease expiration matrix; renewals; collections delinquencies; generating service requests and closing out when complete.
  • Maintaining positive customer service attitude.
  • Conducting periodic unit inspections with residents.
  • Reviewing all Notices to Vacate upon receipt to determine the reason for the move-out.
  • Initiating and implementing policies/procedures to maintain resident communications, e.g., complaints, service requests, etc.
  • Physically walking and inspecting community on a regular basis; checking on vacant apartments.
  • Updating lease activity board indicating vacancy status daily.
  • Coordinating with Maintenance Supervisor to ensure timely reconditioning of apartments after move-out.
  • Completing any pertinent safety checklists with maintenance staff.
  • Helping determine property maintenance requirements, reviewing contractor bids, and negotiating maintenance contracts.
  • Working closely with Maintenance Supervisor to monitor and schedule all maintenance activities.
  • Conducting all market surveys monthly (or as needed) and providing trend report information.
  • Shopping competition and being aware of neighborhood market conditions.
  • Checking comps via internet weekly or more often, as needed.
  • Maintaining awareness of market/industry conditions and trends via trade publications, professional organizations, etc.
  • Welcoming and showing community to prospective new residents.
  • Answering incoming phone calls from prospective residents and completing appropriate paperwork.
  • Recommending updates, changes, and additions to property management forms, reports, and manuals as needed.
  • Preparing and conducting meetings, as necessary.
  • Performing any other reasonable requests made by TRIO senior staff.
  • Using successful techniques and company directives to screen, hire, orient and train new personnel.
  • Approving all community personnel hires, status changes and terminations.
  • Ensuring efficiency of staff through ongoing training, instruction, counseling, and leadership.
  • Planning weekly/daily staff schedules and assignments.
  • Administering action plans consistently, and on a timely basis with performance problems; Documenting appropriately, communicating situation to supervisor, Human Resources Director, and terminating properly when necessary.
  • Providing support to staff to encourage teamwork and leading as an example in creating a harmonious environment.
  • Ensuring all administrative processes involving personnel are handled on a timely basis (i.e., performance evaluations, salary reviews, time sheets, change of status forms, etc.).
  • Collaborating with Supervisor to develop each community’s overall business plan and ensuring each community is operating in a manner consistent with the business plan.
  • Coordinating the formulation of budgets for each upcoming calendar year.
  • Ensuring that all rents are collected when due and posted in a timely manner throughout portfolio.
