About The Position

The Property Manager will be responsible for the day-to-day operations, physical condition, financial performance, and administration of a property portfolio. This role involves managing multiple buildings and owners within a 10-mile radius of the corporate headquarters, ensuring all operations align with owner requirements, company objectives, and applicable laws as outlined in Property Management Agreements.

Requirements

  • A minimum of 4 years in commercial property management, including at least 2 years as a property manager.
  • Service-oriented with the ability to interact and communicate clearly with all levels of individuals and groups orally and in writing.
  • Strong planning and organization skills with excellent attention to detail.
  • Strong understanding of financial accounting principles and the ability to analyze and interpret reports.
  • Ability to read, analyze, and interpret leases, general business periodicals, professional journals, technical procedures, and government regulations.
  • Ability to write reports, business correspondence, and procedural manuals.
  • Ability to define problems, collect data, establish facts, and draw valid conclusions.
  • Ability to accomplish directives with minimal supervision and show consistent follow-through.
  • Proficiency with Microsoft Word, Excel, and Outlook required.

Nice To Haves

  • At least one class completed toward RPA, CPM, or similar certification (LEED, Fitwel), or real estate salesperson license preferred.
  • Candidates without such coursework will be encouraged to commence coursework with support from Hospitality at Work if hired.
  • Four-year college degree preferred.
  • Equivalent combination of education, certifications, and experience in lieu of a four-year college degree will be considered.
  • Familiarity with underwriting, pro-formas, property condition reports or assessments (PCR/PCA), basic loan documents, loan draws and process, and property management agreements.
  • Experience with Yardi accounting system is preferred.

Responsibilities

  • Ensure properties are maintained in a first-class condition through weekly inspections, identifying areas for improvement, and overseeing maintenance and capital improvement projects.
  • Maintain thorough knowledge of company policies and procedures, ensuring all performance metrics align with company standards, leases, and vendor contracts.
  • Establish and maintain excellent tenant relations by implementing tenant engagement platforms and personal contact, resolving issues in a service-oriented manner, and promoting tenant satisfaction.
  • Review and monitor tenant service requests for prompt and accurate handling, communicating issues to onsite staff to ensure quality standards.
  • Manage the annual review of all contracts and bidding processes in accordance with client and lease requirements.
  • Purchase supplies, materials, equipment, and contract vendor services within approved budgets and according to company and client policies.
  • Supervise the administration of service and supply contracts to ensure compliance, cost control, and accurate invoicing.
  • Maintain and update property site rules and regulations, building standards, tenant handbook, security procedures, emergency preparedness programs, insurance, and tenant information.
  • Supervise building staff and vendor partners, including janitorial, engineering, and security personnel.
  • Direct and lead the preparation of annual operating budgets, expenses, tenant estimate billings, and reconciliations.
  • Collaborate with the accounting team to prepare monthly/quarterly/annual operating reports, including cash flow requirements, reforecasts, variance explanations, rent roll, accounts receivable, CAM reconciliations, fee schedules, and capital expenditure schedules.
  • Monitor all receivables (aging reports) to ensure prompt collection of outstanding amounts and verify accurate receipt and application of payments.
  • Review and confirm coding of vendor invoices in an online system and monitor payments, addressing vendor statements and inquiries.
  • In rotation with the property management team, answer phones, distribute mail, and respond to after-hours emergencies via telephone, email, or in person.
  • Collaborate with other Property Management staff on implementing and completing budgeted repairs, maintenance, and capital projects.
  • Handle tenant moves, small to medium tenant improvements, and capital projects.
  • Ensure tenant adherence to lease requirements and property rules and regulations.
  • Respond in a timely fashion to client inquiries and requests.
  • Maintain an open dialogue with supervisor, providing relevant information about property operations.
  • Understand lease administration and lease abstracting into Yardi.
  • Participate in leasing calls with brokers.
  • Maintain relationships and communication with building owners or asset managers to implement strategies aligned with owner goals.
  • Perform all other duties as assigned.
