About The Position

This position is responsible for overseeing the preventive care, daily grounds, and household maintenance services at all assigned properties. This includes oversight of outside vendors and contractors hired to perform specific tasks relating to maintenance. This position will be primarily located at a private residence in Ada, Michigan.

Requirements

  • Landscaping/grounds and estate level maintenance experience required.
  • Leadership experience required.
  • Vendor/contractor coordination experience required.
  • Knowledgeable regarding proper care and maintenance of lawn, trees, shrubs, etc.
  • Knowledgeable regarding mechanicals, such as underground sprinkling systems, electrical and heating/cooling systems.
  • General knowledge and basic skill level in certain trades, such as mechanicals, HVAC, plumbing, appliance repair, building/carpentry, painting, etc.
  • Strong interpersonal and communication skills are essential.
  • Attention to detail, organization, and follow-through in daily routine is essential.
  • Ability to maintain a highly productive work output without immediate supervision.
  • Valid Enhanced driver’s license required.
  • Responsibilities are conducted in the home(s) of the client of RDV Staffing. While an employer/employee relationship exists, it is important that employee is genuinely committed to contributing to a happy home environment.
  • May be required to “pitch in” to perform a household task not specifically outlined within this job description.
  • Preservation of a peaceful household atmosphere is essential. Responsibilities should be carried out with minimum of intrusiveness into activities of the family. This requires flexibility and ingenuity with sensitivity to privacy of family members at all times.

Responsibilities

  • Interview and onboard properties staff to ensure alignment with the principal’s standards and expectations.
  • Create and manage staff schedules to ensure seamless coverage and consistent operations across all properties.
  • Conduct routine inspections to ensure all areas meet cleanliness and presentation standards, addressing deficiencies promptly.
  • Conduct regular evaluations to ensure tasks are completed to the Principal's expectations and address areas for improvement proactively.
  • Lead Fox Meadow’s property team to ensure the successful execution of projects and tasks. This includes delegating, providing guidance and support, and creating a collaborative and creative work environment.
  • Oversee the training and development of new staff to ensure high standards of service and care.
  • Oversee regular inspections throughout the residence and grounds. Supervise the completion of minor repairs and arrange for major repairs with appropriate contractors.
  • Solicit competitive bids for projects as required and monitor all work provided by contractors.
  • Develop and maintain an intimate working knowledge of all household systems (e.g., telephone, HVAC, lighting, electrical, security, appliances, recreational and exercise equipment, emergency generators, plumbing, water softeners, sump pump). Supervise or arrange for maintenance to ensure optimal efficiency and operation.
  • Coordinate with outside vendors and RDV Corporation (Wakestream) staff for wireless, IT, audio/visual, and lighting needs and programming.
  • Oversee the maintenance, cleanliness, and operation of fireplaces; ensure wood bins are stocked.
  • Arrange for trash removal, supervise the cleanliness of trash receptacles, and ensure receptacles are washed as needed.
  • Manage the cleanliness and organization of garages, attics, outdoor storage areas, patios, decks, porches, and entryways.
  • Conduct regular checks to ensure all light bulbs are in working order and replace as necessary. Ensure adequate stock of miscellaneous supplies (e.g., batteries, light bulbs, filters, tools).
  • Supervise routine exterior checks (e.g., under eaves, dryer vent screens, exterior windows) and arrange for cleaning as necessary.
  • Inspect and maintain painted surfaces, wood, stucco, stone, and grout conditions of the residence exterior; ensure gutters are cleaned as needed.
  • Oversee mowing, edging, and general upkeep of lawns. Consult with landscaping contractors for appropriate sprays, fertilizers, and pest control; schedule applications as needed. Ensure flower beds are weeded and free of dead vegetation; arrange for planting of annual flowers and oversee garden maintenance.
  • Ensure operational readiness of the sprinkler system; inspect for leaks and malfunctions and coordinate repairs as needed. Coordinate adjustment of sprinkler systems based on lawn conditions.
  • Consult with tree service contractors for feeding, trimming, and removal of trees.
  • Coordinate snow removal and ensure walkways are maintained in a safe condition.
  • Ensure cleanliness and operational readiness of outdoor grills, patios, porches, exterior furniture, fireplaces and propane fuel tanks.
  • Supervise the maintenance of recreational equipment (e.g., bikes, balls, toys, battery powered devices, powered toys) and oversee the storage of off-season outdoor furniture and equipment.
  • Oversee pool and spa maintenance contractors and practices. Learn all systems to provide troubleshooting and backup maintenance. Ensure optimal cleanliness and operation at all times and monitor water levels frequently.
  • Inspect driveways annually and arrange for repairs and preventive maintenance. Ensure care, maintenance, and operational readiness of power tools and other equipment.
  • Ensure safe and proper use of tools. Ensure access to and compliance with personal protective equipment requirements.
  • Assist with grounds preparation and support for special events at the residence. Perform other special duties as assigned by Sr. Property Manager, Director of Properties or Principal.
  • Assist and supervise staff as needed, including moving furniture and lifting heavy objects.
  • Supervise the maintenance and cleanliness of interiors and exteriors of automobiles, fuel levels, and repair and maintenance requirements.
  • Arrange for professional detailing of all vehicles as needed.
  • Ensure proper paperwork is in each vehicle, i.e., registration, insurance, documentation, etc.
  • Maintain service records for all vehicles; arrange service, as necessary.
  • Ensure each vehicle is stocked with standard items, i.e., umbrellas, water, tissues, etc.
  • Provides oversight of grounds and household maintenance for all assigned properties.
  • Ensures out of area property readiness for any family or guest visits, working closely with the applicable household staff and local contract service providers.
  • Reviews project plan(s) with Sr. Property Manager, providing status updates as necessary.
  • Complete oversight of the property team, fostering a culture where diligence and commitment to excellence is a shared priority.
  • Sets the standard and reflects it when hiring, training, and in ongoing staff management. This includes a concierge-style attitude, a dedication to sophisticated service and successful navigation of etiquette protocols even when faced with ambiguity or conflict.
  • Strategically plans, recommends, and implements innovative and creative solutions for new and existing challenges. Continuously works proactively on long range planning.
  • Coordinate/schedule/monitor the following services: exterminator, trash removal, lawn, and landscape maintenance, sprinkling system, tree service, snow removal, heating/cooling systems, appliance repair, plumbing repair, electrical repair, carpet cleaning, window washing, and water treatment systems, among others.
  • Maintain accurate contact list for outside vendors and contractors for the property.
  • Work with contractors to help develop and learn mechanical and electronic systems.
  • Maintain accurate record of maintenance items; keep a well-documented record of routine maintenance.
  • Pick-up/drop-off people or cars at airport locations.
  • Transport and stage bicycles, golf carts, and other recreational equipment at various locations as needed.
  • Coordinate and assist with holiday decorating, i.e., Christmas lighting, and special event requirements, table set up/tear down, etc.
  • Must be proactive in ensuring Heads of Household are made aware of important grounds and household maintenance issues.
  • Maintain a positive working relationship with family members and household staff.
  • Perform special projects at request of Sr. Property Manager or Director of Properties; run errands, as necessary.
