About The Position

The Assistant Property Manager is a supervisory position responsible for supporting the Property Manager in various aspects of property operations. This role involves managing expenses, collecting charges, performing property inspections, coordinating with maintenance and leasing staff, and ensuring resident satisfaction. The Assistant Property Manager must be professional in all activities and may be required to lead staff meetings in the absence of the Property Manager. This position also plays a role in financial reporting, budget preparation, and market analysis to maximize rental revenues and manage vacancy effectively. Additionally, the role may involve evaluating potential acquisitions and ensuring compliance with all property policies and legal requirements.

  • Detail oriented; ability to manage conflicting priorities and adjust priorities as necessary.
  • Intermediate knowledge of Microsoft Outlook, Word and Excel.
  • Obtain Property Management credential (ARM or CAM).
  • Obtain Crime Free Housing training and Certificate.

Nice To Haves

  • Experience using Onesite or other related property management accounting software is preferred however not required.

Responsibilities

  • Pinpoint expenses which can be reduced.
  • Maintain accurate reconciliation of the property’s petty cash account.
  • Serve as support on an as-needed basis for asset management initiatives, including mortgage refinancing, assessment of competitive market conditions, and any information needs which may arise.
  • Diligently attempt to collect any and all charges due from the residents, taking any appropriate legal action when residents do not pay.
  • Perform weekly physical inspections of the property and its grounds, rectifying any problems identified.
  • Inspect all apartments made ready prior to putting them on the market as show units or allowing new residents to take possession.
  • Assist Property Manager in directing maintenance staff to ensure that all amenity areas of the property are kept in acceptable condition and in working order.
  • Become aware of competitive market conditions, maximizing rental revenues at the property.
  • Maintain rental schedule appropriately, allowing efficient pricing and leasing of units.
  • Manage vacancy appropriately for market conditions.
  • Assist the Property Manager with on-going resident retention program as defined in the property management manual.
  • Send all residents with balances after disposition to collection after thirty days.
  • Assist the Property Manager with all resident charges both prior to move-in and during tenancy.
  • Enforce all charge schedules consistently, according to property policy.
  • Assist the Property Manager with review of month-end site reporting packages per the month- end checklist.
  • Ensure that all monies received at the property are deposited in good form on a daily basis.
  • Hold a staff meeting, which includes all team members, in the event of the absence of the Property Manager.
  • Log all utilities on a monthly basis to spot any irregularities.
  • Take an active role in the preparation of property budgets, per instructions provided by asset management.
  • Coordinate with the Property Manager the make ready process, ensuring that all apartments are prepared according to standard when residents are scheduled to move in.
  • Assist the Property Manager ensuring that all phases of the leasing process are carried out consistently and effectively.
  • Discuss all questionable issues which cannot be deemed “every day” with a regional manager to minimize exposure to any liability.
  • Conduct property inspections that include analyzing all facets of the property including amenities, all common areas, and all amenity areas for existence of any risk factors or conditions creating any liability for the asset.
  • Review advertising on a monthly basis for effectiveness.
  • Discuss all changes to advertising with a Regional Manager, and the Director of Marketing and Business Development.
  • Immediately report all incidents occurring on the property to the Regional Manager and Human Resources Manager (as appropriate) using the proper incident forms.
  • Keep an up-to-date inventory of all equipment and accessories owned by the property.
  • Deal with residents in a strictly professional manner.
  • Analyze demographics on a regular basis, and keep them up-to-date in the computer system at all times.
  • Monitor and understand all elements of the property’s submarket, including competing properties, new business development, population growth, demographic changes, etc.
  • Analyze these factors on a continual basis to ensure that the property’s operations respond accordingly.
  • Audit all resident files and keep them on a consistent basis.
  • May be called upon to evaluate potential acquisitions in its market.
