About The Position

We are a hotel and property management company seeking a proactive and detail oriented Property Management & Accounts Payable Associate . This role will focus on both the day to day operations of our current commercial rental properties as well as assist with accounting for multiple properties in our portfolio. Our rental properties are commercial so there are no after hours calls. On occasion an early evening meeting is required to accommodate new tenants. After hours work is extremely rare but may be necessary. The Future of the Role: Currently the property management tasks are only part time so this position will also take on accounts payable duties, but as we expand our portfolio with two additional apartment buildings by the end of 2027, this position will evolve into a dedicated Property Accounting and Management lead, focusing exclusively on our rental assets. This position is an in person on site position. Applicants must be able to commute to our office in Fremont 5 days a week. Generally the schedule is Monday through Friday, 8am - 4:30pm.

Requirements

  • Communication: exceptional interpersonal, oral and written communications skills.
  • Highly organized with strong attention to detail and time management.
  • Ability to work independently.
  • Must possess a valid Driver's License and a reliable vehicle for travel between property sites.
  • Prior property management and AR or AP experience with a solid understanding of accounting fundamentals, including General Ledger maintenance.
  • Software: proven experience using professional accounting or property management software.
  • Must be generally able to use Microsoft Excel, with the ability to manage spreadsheets, track maintenance logs, and organize financial data efficiently.

Responsibilities

  • Tenant relations: act as the primary point of contact for all tenant requests, inquiries, and concerns.
  • Maintenance Coordination: oversee the full lifecycle of maintenance tasks from initial request to delegation to final inspection, ensuring timely and high quality completion.
  • Vendor Management: build and maintain positive relationships with contractors and service providers; negotiate contracts to ensure cost-effectiveness and service quality.
  • Basic Facility Maintenance : willingness and ability to perform "light touch" maintenance tasks independently when needed, such as changing locks, replacing smoke detector batteries or minor touch ups during unit turnovers.
  • Travel to the rental properties is necessary on an occasional basis.
  • Assist with the full cycle accounting for the rental properties. This includes overseeing the collection and record keeping of rents and providing late notices when appropriate.
  • Assist with general accounts payable and accounting assistant duties for our other operating hotels.
  • Accurately processing invoices for payment.
  • Act as a resource to the operations managers for anything accounting related.
  • Ensure timely payments of vendor invoices, following proper approvals and policies.
  • Reconciliation of bank and credit card statements.
