The Property Administrator is a visible and trusted presence within the community, helping shape how residents experience their home each day. Working closely with the on-site team, the Property Administrator delivers service excellence through timely, thoughtful support and careful attention to the details that matter most to residents while also serving as an essential operational partner to the property team. Requirements

  • A service-first mindset and pride in creating a positive, professional experience for every resident interaction.
  • Clear and polished written and verbal communication skills, paired with thoughtful listening and emotional intelligence, including the ability to remain calm, respectful, and solutions-focused when handling sensitive or challenging conversations.
  • Exceptional organisation, attention to detail, and follow-through in a fast-paced environment with multiple competing priorities.
  • Sound judgement and practical problem-solving skills, including knowing when an issue can be resolved independently and when it requires escalation.
  • A proactive and dependable approach, with the ability to take ownership of work and keep commitments moving forward.
  • A collaborative working style and the ability to build productive relationships with on-site colleagues, residents, and service partners.
  • 2+ years of experience in residential property administration or a similar resident-facing role within a rental or multifamily environment.
  • Proficiency with Microsoft Office applications, particularly Word and Excel.

Nice To Haves

  • Post-secondary education.
  • Experience using Yardi or a comparable property management system.
  • Familiarity with residential tenancy legislation and basic collections or legal processes.

Responsibilities

  • Serve as a welcoming and dependable point of contact for residents, handling day-to-day inquiries, feedback, concerns, and complaints with care, clear communication, sound judgement, and a commitment to service excellence.
  • Support residents through the moments that shape their experience at the property, including move-ins, move-outs, account questions, and maintenance needs. Coordinate the communication, follow-up, work orders, and escalation required to keep requests moving.
  • Help keep a busy site office running smoothly, balancing accounts payable support with other day-to-day administrative priorities.
  • Maintain accurate resident account and property information in Yardi and related systems, including resident files, correspondence, and supporting documentation.
  • Support accounts receivable activities, including follow-up on outstanding balances, delinquent rent, chargebacks, and related resident account matters, while preparing rent rolls, weekly reports, accounts receivable reports, and other property documentation as required.
  • Maintain an organised, professional, and welcoming office environment.
  • Prepare resident emails, notices, letters, and other correspondence that is clear, accurate, timely, and professional.
  • Look for practical ways to make everyday processes easier and more seamless for residents and the on-site team.
