Responsibilities

  • Perform administrative support and general office work for the GM, Operations, or other members of the mall or corporate team, including preparing tenant and vendor packages and letters.
  • Draft vendor contracts and bid comparisons in collaboration with the Operations and mall team.
  • Manage utility transfers for tenants at move-in and move-out, and ensure timely payment and coordination of utilities.
  • Support the leasing team by drafting license agreements, lease agreements, and LOI comments, including editing lease and site plans, and creating exhibits and PowerPoint presentations.
  • Assist with information exchange and requests from vendors, contractors, mall customers, merchants, and tenants.
  • Collect and manage data and files necessary for the center's ongoing activities.
  • Schedule meetings, conference calls, and appointments.
  • Assist in executing strategic property goals and completing individual goals.
  • Process invoices and manage data in Yardi, assisting corporate with accounting needs for the mall property.
  • Manage office and janitorial supplies, including office equipment contracts and services.
  • Conduct property walks and create work orders for identified needs.
  • Manage key control access for the maintenance team.
  • Occasionally assist security with alarm panels/lighting controls.
  • Manage contractor roof access.
  • Ensure 100% insurance compliance with all tenants and vendors.
  • Prepare and edit marketing memos, collateral, and emails.
  • Assist in creating/designing marketing collateral such as mall signage and banners.
  • Interact with customers via social media and in the office for various events.
  • Assist the Marketing Manager with facilitating marketing vendors, including contract preparation.
  • Help plan and implement marketing events/promos, communicate with tenants about events, encourage participation, and follow up.
  • Engage in community outreach for event and display partnerships.
  • Conduct daily marketing property walks to ensure marketing collateral stands are in good condition.
  • Create and install marketing window displays for various seasons and holidays.
  • Check in with the Santa program team to ensure the workshop is clean and stocked.
  • Assist in developing ideas for the monthly Kids Club program and attend these events on weekends, including interacting with children and parents, demonstrating crafts, and sharing photos for social media.
