Reporting to the Document Manager, the Project Support Coordinator is a document formatting specialist, responsible for assisting project teams in preparing and developing document deliverables, in accordance with quality standards and to meet the project schedule. The successful candidate will have expert MS Office skills and, ideally, previous experience in a similar role. This role is based in Hamilton, Ontario.

Requirements

  • Experience in a similar role, ideally in an engineering environment.
  • Must be detail-oriented with an eye for quality and ability to enforce it.
  • Advanced level in Microsoft Office Applications and PDF programs.
  • Experience working in an EDMS and/or SharePoint.
  • Excellent written and oral communication skills, including ability to receive and convey instructions and communicate at all levels within the organization.
  • Is resourceful and confident, able to own and complete tasks with minimal supervision.
  • Demonstrated ability to learn software tools and support others.
  • Solid knowledge of document management systems, processes and procedures.
  • Can adapt to changes and multi-task, able to identify and solve problems or ask for help.

Responsibilities

  • Updating and maintaining files and accurate metadata in the electronic document management system (EDMS).
  • Formatting and quality checking project documentation using MS Word, Excel and other Office products.
  • Coordinating preparation of complex documents with multiple owners when required.
  • Converting documents to PDF and compiling multi-part documents.
  • Delivering consistent quality documents in accordance with project and client standards.
  • Educating and supporting project teams members in applying and understanding processes and standards.
  • Other administrative duties as required.
