About The Position

The Project Support Administrator supports both daily office operations and active project work across the team. This role assists project managers and staff by preparing, organizing, and tracking project-related documentation while also handling routine administrative tasks such as scheduling, communication, and front office coordination. This position plays a key role in keeping projects organized, on track, and running efficiently.

Requirements

  • Associate degree in office administration, business, or related field, or equivalent combination of education and experience.
  • Minimum 1 year of relevant administrative, office, or project support experience preferred.
  • Experience with Microsoft Office and Bluebeam or similar tools.
  • Strong organizational skills with the ability to manage multiple priorities and deadlines.
  • Ability to support project workflows by tracking information, maintaining documentation, and following through on tasks.
  • Strong attention to detail and accuracy in document preparation and review.
  • Ability to work both independently and collaboratively in a fast-paced environment.
  • Strong communication and interpersonal skills, with the ability to work effectively with a variety of team members.
  • Professional presence and ability to handle confidential information with discretion.
  • Problem-solving mindset with the ability to identify needs and take initiative.

Nice To Haves

  • Relevant experience in architectural, engineering, or construction firm is a plus.
  • Familiarity with architectural/engineering project management software (e.g., Newforma) is a plus.

Responsibilities

  • Perform a wide variety of administrative and project support tasks, including drafting, editing, formatting, and proofreading documents to ensure accuracy and consistency.
  • Provide direct support to project teams by assisting with the preparation, submission, and tracking of project-related documentation.
  • Draft, review, submit, distribute, and track construction-related paperwork, including contracts, sub-consulting agreements, payment applications, change orders, and other project documentation.
  • Help maintain organized and up-to-date project files, ensuring accessibility and alignment with firm standards.
  • Coordinate with project managers and internal teams to support deadlines, document flow, and overall project organization.
  • Serve as a liaison to staff by supporting communication and administrative needs across departments.
  • Perform general office support duties such as scanning, copying, filing, and document management to ensure smooth operations.
  • Assist with scheduling meetings, coordinating calendars, and supporting internal and project-related meetings.
  • Assist with welcoming visitors and manage front office responsibilities, including building access.
  • Support office operations by assisting with supply ordering and maintaining a well-functioning office environment.
  • Accomplishes all other duties and tasks as appropriately assigned or requested by immediate supervisors.
