About The Position

The Office of Community Engagement builds bridges between Ball State University and communities beyond campus, with a priority on Muncie, Delaware County, and East Central Indiana. We seek the most effective ways to advance community priorities through authentic partnerships, impactful anchor institution commitments, and sustained integration of engagement across teaching, research, and service. Candidates for searches must have current authorization to be employed in the United States without employer sponsorship.

Requirements

Associate's Degree or equivalent.
One through three years of project planning and/or project management experience, working in an office setting and using Microsoft Office Word and Excel; some supervisory experience.
Excellent written and oral communications skills; ability to manage multiple projects simultaneously; detail oriented; and ability to work independently.

Responsibilities

Manage the coordination and implementation of all activities related to the Ball State annual United Way (UW) campaign, including but not limited to scheduling campaign steering committee meetings, gathering input and feedback on activities; take meeting minutes; review webpages, recommend and monitor changes, work with campaign team captains across campus with sharing UW campaign information with their teams, track donations and submit information to the UW, coordinate mailing to retirees and other groups, work with UMC to prepare comm center announcements, coordinate arrangements for incentives, and work with the President’s Office in preparing for the Leadership Donor Reception.
Manage campus field trips for external groups interested in experiencing multiple venues during a single campus visit. Duties include but are not limited to serving as the primary point of contact, developing schedules in collaboration with internal partners (enrollment planning and management, cultural assets, academic departments, Athletics, etc.) and student assistants, preparing age-appropriate scripts, training campus tour guides, coordinating pick up/drop off arrangements, and sending confirmation letters/emails.
Track field trip participation and develop and administer appropriate assessment tools. Coordinate and ensure consistency of certain data points with other cultural assets and Athletics to enhance reporting for Ball State Strategic Plan goals.
Hire, orient and train students that serve as field trip assistants, including but not limited to interviewing and selection, compensation, and discipline.
Assist with the work of the Integrated Cultural Committee to develop and implement a promotional plan designed to draw attention of community groups and P-12 schools to the cultural assets on campus; generate interest particularly during cycles where participation is low, assist in hosting and promoting collaborative events, maintain updates on combined marketing materials and webpages as changes occur, and host booths at community events to promote Ball State’s cultural assets.
In partnership with Learning and Development, coordinate quarterly Campus Community Bus Tours for BSU employees, other campus departments and community partners as requested. Create information packets, prepare and update script and coordinate speakers for stops along the tour route.
In partnership with staff in Residential Life and community organizations, coordinate Bus Tours for Ball State students around a variety of topics to introduce them to the Muncie community. Create information packets, prepare and update scripts, and coordinate speakers/destinations for the tours.
Assist with the implementation of the Slate registration system by working with Ball State’s IT department and campus cultural units to establish a presence in the system and conduct onboarding for use during events that require registration and tracking activities.
Support the activities of the Community Engagement for the Arts Grant which includes, support the review committee by scheduling meetings and finalist interviews, serve as the liaison between the grantee and Ball State offices (SPA, Office of General Counsel, etc.), track progress throughout the award, and ensure that all funding claims fit within the parameters of the original proposal and grant agreement.
Provide project management service to support the community engagement activities of internal and external partners, as assigned by the AVP for Community Engagement.
Serve on university committees and as a university representative on external boards, task forces and committees as assigned by the AVP for Community Engagement.
Perform other related duties as assigned.
