About The Position

Eurofins Scientific is an international life sciences company providing a unique range of analytical testing services to clients across multiple industries to make life and our environment safer, healthier, and more sustainable. The Project Manager is accountable for coordinating and managing clients’ projects through all phases of laboratory operations, including project set-up and maintenance, login review, communication of analytical issues, client account maintenance, reporting, invoicing, bottle orders, client pickups, and identification of work share facilities. The Project Manager role fosters and develops client relationships in support of the laboratory mission.

Requirements

  • BS/BA in Chemistry/Sciences or related field (four years related experience may substitute for a degree)
  • 6 months of client-relationship/customer service experience

Responsibilities

  • Coordinate and manage clients’ projects through all phases of laboratory operations.
  • Manage project set-up, including project review in LIMS, setting up projects, adding project notes, reviewing project documentation, and setting up clients for Total Access.
  • Manage purchase orders, task orders, contracts, and change order requests.
  • Verify lab compound lists and limits meet project requirements for new projects not quoted.
  • Add project-specific limits/lists to LIMS.
  • Determine deliverable assignment and delivery route, and confirm EDD format availability.
  • Communicate project details to operations and initiate project kick-off calls.
  • Engage work share labs, service centers, and non-Eurofins TestAmerica locations as needed.
  • Work with operations to ensure adequate capacity for incoming work (forecasting) and provide updates on upcoming work.
  • Create bottle orders and schedule couriers or field samplers.
  • Confirm non-Eurofins TestAmerica subcontract labs are on the approved list and set up as vendors.
  • Initiate approval process for any subcontract labs not on the approved list and generate subcontract paperwork.
  • Verify lab certification and compound lists/limits meet project requirements for new quotes.
  • Communicate any issues to clients for the duration of the project.
  • Manage incoming work for Rush and short holds, review log-in, and resolve log-in issues with clients.
  • Inform clients of any log-in discrepancies and set samples to “available” after review.
  • Send client sample receipt confirmation.
  • Review draft invoice and confirm client information is recorded in LIMS for invoicing.
  • Manage client-specific report requirements, review job lists daily, and manage due dates.
  • Communicate any expected delays to clients before the job due date.
  • Confirm data anomalies with operations before submitting to client.
  • Review reports and EDDS before issuing to the client, confirming correct report and EDD formats.
  • Create and issue final reports by client due date, including final data packages, state reporting forms, DMR forms, EDD checkers, data uploads, case narratives.
  • Review final invoice before issuing to client, generate credit/debit memos as needed, and submit for approval.
  • Initiate follow-up calls to confirm correct invoicing and work with collections on A/R follow-up.
  • Perform regular review of A/R status.
  • Set up new clients, request new client review, and confirm sales assignments.
  • Take new quote requests from clients, review client contract requirements, and review purchase orders.
  • Follow up on client terms and credit limits.
  • Perform account maintenance, including follow-up calls and visits with clients.
  • Provide technical support as needed and use company resources to follow up on client requests.
  • Forward opportunities and leads to sales, forecast upcoming work, and ask for the next opportunity.
  • Submit client complaints and participate in corrective action/follow-up as needed.
  • Communicate client issues/complaints to sales and follow up on client requests.
  • Support the follow-up of quotes/bids for tracking purposes.
  • Initiate project QAPP review with operations, QA, and subcontract labs as needed.
  • Initiate technical support from operations as needed.
  • Generate quotes, including reviewing client quote requests, confirming client contracts and pricing, determining lab placement, and confirming lab certifications and compound lists/limits.
  • Create, submit for approval, and send quotes to clients.
  • Forecast quotes and provide QAPP/SOW information to the client as needed.
  • Update status in LIMS.
