About The Position

The Project Manager (PM) serves as the primary lead for records retention and management (physical and electronic) within the Occupational Health Branch (OHB). The PM is responsible for developing, maintaining, and updating branch-wide policies, procedures, and the Administrative Manual, ensuring compliance with State and departmental requirements. In addition, the PM provides in-office operational support, assisting with routine administrative tasks and onsite needs to facilitate smooth branch operations. This position is funded through 6/30/2028. This position requires a physical presence in the Richmond, CA office at least four times per week.

  • Ability to work independently and collaboratively.
  • Strong organizational skills with attention to detail.
  • Ability to interpret and organize complex information.
  • Proficiency with Microsoft Office Suite and records management systems.
  • Ability to conduct onsite operational duties, including managing mail, packages, and occasional physical tasks.
  • Strong written and verbal communication skills.
  • Four years of work experience performing analytical, technical, clerical, and/or customer service duties.
  • Academic education from an accredited college/university may be substituted for the required experience on a year-for-year basis.

  • Public health experience preferred.

Responsibilities

  • Leads the development, implementation, and oversight of OHB’s records retention program, including both physical and electronic records.
  • Ensures compliance with State and departmental records retention schedules and Public Records Act requirements.
  • Maintains, organizes, and updates databases and filing systems for records tracking, retrieval, and archiving.
  • Provides training and guidance to staff on records management best practices.
  • Develops, drafts, and updates branch-wide policies, procedures, and the Administrative Manual in collaboration with OHB leadership and staff.
  • Ensures branch policies and procedures remain current and compliant.
  • Prepares written and visual materials (charts, diagrams, tables, slides) to support policy and procedure dissemination.
  • Assists with onsite operational duties, including managing mail, packages, and supporting physical office tasks.
  • Provides general administrative support to OHB leadership and project teams as needed.
  • Coordinates routine administrative tasks and maintains shared resources.
  • Supports implementation of standardized workflows and continuous improvement efforts related to records and administrative processes.
  • Advises OHB staff on problems related to records retention and policy development.
