About The Position

Manages and provides overall support for the Nursing Beacon Scholars program and students. The Project Manager is responsible for organizational support for Ivy Tech Community College, South Bend-Elkhart related to the Nursing Beacon Scholars Program including reporting, tracking student records, project management, and program enrollment support. This is a partnership-funded position at 80%.

Requirements

  • Knowledge of computer applications and familiarity with computerized records systems required.

Responsibilities

  • Working with Ivy Tech Academic and Student Affairs to identify candidates who meet qualifications, including vaccination status, FERPA documentation certifications, TEAS.
  • Collaborating with Financial Aid and Bursar's Office to secure all records required for Beacon Scholars scholarships and tuition.
  • Maintaining nursing student records.
  • Tracking and entering NCLEX-RN and NCLEX-PN results in electronic student records system.
  • Tracking Ivy Tech Nursing and Beacon Scholars student metrics including but not limited to diversity, interests, enrollees, retention, course success and completions.
  • Ensuring the collection of data on NCLEX exam preparation to include but not limited to Kaplan, ATI, etc. and monitoring of review progress including attendees above 50, testing frequency, schedules, reschedules, preparation dates, comparison scores and success rates/data.
  • Scheduling and ensuring completion of photography sessions for state board pictures for the students.
  • Overseeing the collection and maintenance of immunizations and other health file documents for nursing students.
  • Ensuring students receive the appropriate documentation for the criminal background check and drug screening process.
  • Coordinating and organizing Beacon Scholars program and Nursing program activities.
  • Communicating Beacon Scholars requirements including application documentation, status updates and reports updates and maintaining current knowledge of nursing program admission criteria and program handbook.
  • Collaborating with the School of Nursing team to respond to calls, emails, and other communication regarding nursing admission.
  • Serving as the main contact for students interested in the Beacon Scholars program to complete the Nursing and Limited Enrollment Health Science Application.
  • Providing correspondence to the nursing students and stakeholders in the community from the Dean or Department Chair.
  • Supporting and informing students on all programs in the department and providing proper forms to students, verifying completeness of forms and accompanying materials.
  • Maintaining appropriate inventory of necessary forms, ensuring professional appearance of outgoing documents.
  • Coordinating with Program Chair/Dean nursing student registration, orientation, and end-of-program reviews.
  • Aiding in changes/edits to student schedules upon registration and communicating to students.
  • Gathering, analyzing, reporting, and communicating regular and consistent information as it relates to increasing diversity, equity, and inclusion within the health care industry.
  • Presenting quarterly metrics on all Ivy Tech students and faculty and Beacon Scholars for diversity, equity and inclusion, recruiting, and stipends.
  • Managing Ivy Advising and Degree Tracker materials and faculty access.
  • Collaborating with Beacon to offer other developmental opportunities (soft skills, professional development, mock interviews, professional etiquette) to support the program.
  • Working with Ivy Tech and Beacon marketing teams to coordinate the development of signage, collateral, and other marketing material to promote the Nursing program.
  • Other duties logically associated with the position may be assigned.
  • All responsibilities will be conducted within the parameters of the Family Educational Rights and Privacy Act (FERPA), other applicable regulatory requirements, and professional standards.
