About The Position

UTM.io and McGaw are looking for a disciplined, execution-focused Project Manager to keep internal initiatives moving across both companies. UTM.io is a marketing attribution and UTM management platform used by enterprise marketing teams. McGaw is a marketing tech-stack consulting agency specializing in full-funnel optimization and modern martech, helping companies audit growth, integrate their tech stack, and build analytics that drive revenue. This is one part-time contract role serving both companies. You will work directly with Dan McGaw (CEO of both companies) and Nik (VP, McGaw) to make sure commitments made by department leaders are scheduled, tracked, and actually completed. This is not a note-taking role. You will own the project cadence and have explicit authority from leadership to chase down owners, surface slippage, and escalate when timelines are at risk.

Requirements

  • 3+ years managing projects in a SaaS, agency, or professional services environment, with a track record of delivering on schedule.
  • Comfort holding senior stakeholders accountable. You can tell an executive their deliverable is late, professionally and without hesitation.
  • Strong written communication. Your status updates are short, specific, and require no follow-up questions.
  • Proficiency in Notion (databases, views, templates) and Trello, plus Slack and Google Workspace.
  • Working fluency with AI tools such as Claude for drafting, summarizing, and organizing project information.
  • Self-directed operation. At 5 to 15 hours per week you will not be managed closely, and you will need to protect and prioritize your own time.
  • Meticulous follow-through. Nothing you touch gets dropped.
  • Ability to context-switch between two companies with different rhythms, one a product company and one an agency.

Nice To Haves

  • Experience supporting a founder or CEO across multiple entities.
  • Familiarity with martech, marketing analytics, or attribution concepts.
  • Background in agency client services or delivery operations.
  • Experience standing up or restructuring a project tracking system from scratch.

Responsibilities

  • Translate leadership commitments and departmental initiatives into tracked projects with clear owners, deliverables, and due dates.
  • Run the recurring project cadence across both companies: prepare agendas, facilitate status reviews, capture decisions, and publish follow-ups the same day.
  • Monitor progress against schedule across marketing, product, and sales at UTM.io, and across sales, marketing, client services, and executive initiatives at McGaw.
  • Chase down owners on overdue or at-risk items directly, and escalate to Dan or Nik when a deadline is genuinely in jeopardy.
  • Maintain a single source of truth for project status in Notion and Trello so any executive can see where anything stands without asking.
  • Break large initiatives into sequenced milestones, flag dependencies between departments, and identify bottlenecks before they become missed dates.
  • Produce a concise weekly status summary for leadership covering what shipped, what slipped, and what needs a decision.
  • Identify recurring process gaps and propose lightweight fixes, then document the resulting workflow.
  • Manage the intake of new project requests so work is prioritized deliberately rather than by whoever asked most recently.
