About The Position

The Project Manager II (PM II) is accountable for coordinating and managing clients’ projects through all phases of laboratory operations, including project set-up and maintenance, login review, communication of analytical issues, client account maintenance, reporting, invoicing, bottle orders, client pickups, and identification of work share facilities. The PM II role fosters and develops client relationships in support of the laboratory mission.

Requirements

  • BS/BA in Chemistry/Sciences (six years related experience may substitute for a degree).
  • Minimum 5 years of client-relationship/customer service experience or Project Management experience.

Responsibilities

  • Project set-up, including project review in LIMS, setting up projects, adding project notes, and reviewing project documentation (permits, SOW, QAPP, and purchase/task orders).
  • Setting up clients for Total Access and managing purchase orders, task orders, contracts, and change order requests.
  • Verifying that lab compound lists and limits meet project requirements for new projects not quoted and adding any project-specific limits/lists to LIMS.
  • Confirming EDD format availability for new projects not quoted and submitting helpdesk tickets for any new formats needed.
  • Communicating project details to operations, initiating project kick-off calls, and engaging work share labs, service centers, and non-Eurofins Environment Testing America locations as needed.
  • Working with operations to ensure adequate capacity for incoming work (forecasting) and providing updates on upcoming work.
  • Creating bottle orders and scheduling couriers or field samplers if needed.
  • Confirming non-Eurofins Environment Testing America subcontract labs are on the approved list and set up as vendors, initiating approval processes for new subcontract labs, and generating subcontract paperwork and accounting software requisitions.
  • Verifying that lab certification and compound lists/limits meet project requirements for new quotes and confirming EDD format availability.
  • Engaging workshare labs, service centers, and non-Eurofins Environment Testing America locations as needed for new quotes.
  • Providing supporting documentation to clients as needed.
  • Communicating any issues to clients for the duration of the project.
  • Managing incoming work for Rush and short holds, reviewing log-in, resolving log-in issues, and informing clients of any discrepancies.
  • Sending client sample receipt confirmation.
  • Reviewing draft invoices, confirming that client-needed information is recorded in LIMS for invoicing.
  • Reviewing job lists daily and managing due dates.
  • Communicating any expected delays to clients before the job due date.
  • Confirming any data anomalies with operations before submitting to the client.
  • Reviewing reports and EDDS before issuing to the client, confirming correct report and EDD formats.
  • Creating and issuing final reports by client due date, issuing final data packages, and handling state reporting forms, submission, DMR forms, EDD checkers, data upload, and compiling case narratives.
  • Reviewing final invoices before issuing to the client, generating credit/debit memos as needed, and submitting them for approval.
  • Submitting revised invoices and initiating follow-up calls to confirm correct invoicing.
  • Working with collections on A/R follow-up and regular review of A/R status.
  • Client set-up, including working with CSM to communicate lab capabilities, requesting new client reviews, confirming sales assignments, taking new quote requests, reviewing client contract requirements, reviewing purchase orders, and following up on client terms and credit limits.
  • Account maintenance, including follow-up calls and visits with clients, submitting client complaints and participating in corrective action, communicating client issues/complaints to sales, following up on client requests, providing technical support, and using company resources to follow up on client requests.
  • Forwarding opportunities and leads to sales, forecasting upcoming work, asking for the next opportunity, and supporting the follow-up of quotes/bids for tracking purposes.
  • Mentoring less senior staff on account maintenance.
  • Initiating project QAPP review with operations, quality assurance, and subcontract labs as needed.
  • Initiating technical support from operations as needed.
  • Quote generation and approvals, including reviewing client quote requests, confirming client contracts and pricing, determining lab placement, confirming lab certification and compound lists/limits, creating quotes, submitting quotes for approval, sending quotes to clients, forecasting quotes, and providing QAPP/SOW information to the client as needed.
  • Updating status in LIMS.
