About The Position

The Project Management Assistant provides administrative and organizational support to the Project Management team. This position helps Project Managers stay organized, maintain accurate project information, monitor deadlines, and follow up on outstanding tasks so Project Managers can remain focused on managing their projects. The ideal candidate is highly organized, detail-oriented, adaptable, and comfortable managing multiple priorities throughout the day. This role is best suited for someone who enjoys creating order, keeping information current, following up with others, and making sure important tasks do not fall through the cracks.

Requirements

  • Exceptional organization and attention to detail.
  • Ability to shift priorities throughout the day while maintaining follow-through.
  • Strong time-management skills and ability to manage multiple deadlines.
  • Comfortable supporting multiple people and working across multiple active projects.
  • Clear, concise, and professional written and verbal communication.
  • Strong computer skills, including Outlook, Teams, Excel, and Word.
  • Ability to work in shared folders and systems.
  • Ability to learn Smartsheet, SharePoint, and other company systems.
  • Ability to identify missing information, ask questions, and follow assigned items through completion.

Nice To Haves

  • Previous administrative, project-support, construction, manufacturing, or other busy office experience is preferred.
  • Experience supporting multiple managers or departments is a plus.
  • Direct construction experience is helpful but is not required if the candidate demonstrates strong organization, computer skills, accuracy, and the ability to learn project terminology and processes.

Responsibilities

  • Provide daily administrative and organizational support to Project Managers.
  • Maintain organized and accurate electronic project files, records, and documentation.
  • Update project schedules, task lists, and due dates.
  • Track outstanding tasks, approvals, documents, and follow-up items and notify the appropriate team members.
  • Assist with scheduling meetings, routine communications, and documentation of important project information.
  • Maintain project logs, checklists, and other tracking tools used by the Project Management team.
  • Assist with project documentation, shipping information, billing support, and project closeout records as required.
  • Escalate urgent issues, missing information, conflicting priorities, or approaching deadlines to the appropriate Project Manager.
