About The Position

This position is ONLY OPEN TO CURRENT FULL-TIME ANNUALLY PAID PARKS EMPLOYEES. Under general direction, with latitude for independent initiative and judgment, perform difficult and responsible administrative work for the development, implementation and coordination of borough Recreation activities. This role involves coordinating, processing, and tracking all vendor/purchasing inquiries and requests, creating and maintaining borough-wide tracking reports using Asset Management Parks System (AMPS) and Excel spreadsheets, and administering maintenance contracts. The coordinator will serve as a liaison with Purchasing and Accounting divisions, work with vendors to obtain reasonable prices, coordinate merchandise delivery, and identify and fund business improvement opportunities. Ensuring branding guidelines are followed on marketing materials and supervising staff performing data entry may also be required.

Requirements

  • A baccalaureate degree from an accredited college and two years of experience in community work or community centered activities in an area related to the duties described above; or
  • High school graduation or equivalent and six years of experience in community work or community centered activities in an area related to the duties as described above; or
  • Education and/or experience which is equivalent to '1' or '2' above. However, all candidates must have at least one year of experience as described in '1' above.
  • Current full-time annually paid Parks employee.

Responsibilities

  • Perform difficult and responsible administrative work for the development, implementation and coordination of borough Recreation activities.
  • Coordinate, process and track all vendor/purchasing inquiries and requests.
  • Create and maintain borough-wide tracking reports, including material and equipment needs, inventory, Other Than Personal Services (OTPS) purchases and budgets, using Asset Management Parks System (AMPS) and Excel spreadsheets.
  • Administer maintenance contracts, which include air conditioning, fire safety, exterminator and fitness equipment.
  • Coordinate preventive maintenance services with contractors for all borough recreation centers.
  • Serve as a liaison with Purchasing and Accounting divisions.
  • Ensure purchase requisitions are accurate and manage all open Purchase Order balances.
  • Ensure recreation staff adhere to purchasing and accounting policies and procedures.
  • Work with vendors to obtain reasonable prices for services, equipment and supplies.
  • Coordinate merchandise delivery with vendors and recreation centers.
  • Work with Chief, Deputy Chiefs, Center Managers and Budget to identify and fund business improvement opportunities.
  • Ensure branding guidelines are followed on all Marketing materials.
  • Supervise staff performing data entry, if needed.
  • Perform other duties as assigned.
