About The Position

Acuren is currently seeking Project Coordinator to support our operation in Corous Christi, TX|Port Lavaca, TX|South, TX Acuren Inspection, Inc. seeks an experienced Project Coordinator for the Austin area in the Leander, TX office. The Project Coordinator position is vital to the success of the Acuren Austin engineering division and reports directly to the Division Manager. The Project Coordinator’s primary role is ensuring the smooth administrative execution of projects starting with paperwork necessary to open projects, proofreading and quality control of reports and client satisfaction feedback. It will require the ability to prioritize a variety of responsibilities in a fast paced environment for all levels of personnel (engineers, scientists, laboratory technicians, administrators, and most importantly our clients).

Requirements

  • Minimum 5 years of proofreading experience for technical documents and reports
  • Ability to perform research to aide in proofing reports (definitions, trademarks, etc.)
  • Strong Microsoft Word, PowerPoint, Excel, and Adobe Acrobat skills, specifically document formatting
  • Highly detail oriented with exceptional planning and organization
  • Strong analytical and problem solving skills
  • Strong interpersonal, communication, and team-oriented skills
  • Highly adaptable with ability to multitask and prioritize in a fast-paced environment
  • Knowledge of general accounting practices and purchasing

Responsibilities

  • Proofreading proposals for distribution to clients via email
  • Entering client data and proposals into division’s database
  • Onboarding new clients and completing client/vendor information packets (general company information, banking, W-9s, safety documentation, etc.)
  • Set-up of laboratory, litigation, and field projects in both division’s database and project management system (Pangea)
  • Review and approval of client purchase orders
  • Interact with Acuren’s legal department pertaining to NDAs and client and subcontractor contracts for project approval and personnel mobilization
  • Proofreading and formatting technical reports for final distribution to clients (MSWord, PowerPoint, Excel, and Adobe Acrobat)
  • Project closing in division’s database and project management system (Pangea) and project file archival
  • Generation of purchase requisitions and purchase orders related to office and laboratory supplies/equipment, as well as project related (equipment rental and safety equipment) (eRequester and Sage software)
  • Process receipt of goods for purchase orders for invoice processing (Sage software)
  • Review and processing of invoices and coding of monthly credit card transactions
  • Maintaining office equipment/supplies and safety equipment (copier, phones, AED, dosimetry rings)
  • Oversee annual fire equipment and alarm inspections
  • Oversee/monitor weekly janitorial services
  • Set-up and oversight of catering for visitors, clients, and team building functions
  • Process shipping of laboratory samples and field gear and supplies (domestic and international – parcel and truckload)
