About The Position

McGee Corporation is seeking a highly organized and detail-oriented Project Coordinator to support our Project Management, Estimating, Sales, CAD, and Construction teams. This role plays a critical part in ensuring projects run smoothly from start to finish by managing administrative tasks, coordinating project documentation, and maintaining strong communication across departments and with customers. The Project Coordinator also serves as a secondary point of contact for customers in the absence of the Project Manager, helping to ensure a seamless client experience.

Responsibilities

  • Provide administrative support to Project Management, Estimating, Sales, and Construction teams
  • Assist with planning and coordinating project schedules and related administrative tasks
  • Support Project Management in coordinating contractual requirements, design drawings, and project submittals
  • Initiate and manage change order procedures, including internal documentation and tracking
  • Communicate with customers to verify agreements and help identify solutions to avoid additional costs
  • Manage project invoicing schedules in alignment with contract terms and allowances
  • Assist Sales with administrative tasks such as prequalification documentation and reporting
  • Organize, maintain, and continuously improve project files and office processes
  • Regularly update the JST project information system
  • Prepare and maintain documentation including inspection packages, transmittals, certificates of insurance, bills of lading, credit applications, and tax exemption certificates
  • Collaborate with Accounting on internal invoicing procedures
  • Distribute project information to engineering and internal teams
  • Apply for and close out permits and jurisdictional licensing as required
  • Distribute permit drawings, field forms, shipment requests, and warranty documentation
  • Maintain high standards of customer service and quality
  • Uphold company core values in all work practices
  • Perform additional duties as assigned
