About The Position

ASSA ABLOY Americas is seeking a Project Coordinator to assist in the administration and management of a portfolio of projects related to the Shared Services infrastructure domain. The Project Coordinator will collaborate with project managers, solution architects, and functional leads (both internal staff and external consultants) to achieve the division’s roadmap, which includes data center operations, network/telephony upgrades, Server/storage deployments, cloud migration activities, security initiatives, and end-user services. This role manages the activities and resources for small to medium complexity projects, focusing on improving and sustaining ASSA ABLOY’s IT structures, processes, and outcomes. The Project Coordinator ensures projects are completed on schedule, within budget, to scope, and meet quality standards. This role is based onsite in New Haven, CT, on a full-time basis.

Requirements

  • 2-5 years of experience supporting IT infrastructure, operations or technical project delivery.
  • Strong understanding of infrastructure components; servers, storage, networking, cloud platforms, data centers.
  • Experience supporting Mergers and Acquisitions.
  • Experience with JD Edwards and SAP ERP related projects.
  • Experience working on projects tied to AIX, RedHat Linux, and SUSE Linux.
  • Experience with project management tools (Smartsheet, MS Project, etc.).
  • Experience supporting hardware refresh cycles, cloud migrations, and App Modernization.
  • Experience supporting Disaster Recovery initiatives, Business Continuity, and Backup projects.
  • Experience with ITIL operations and proficiency in ITIL foundations.
  • Highly motivated and shows initiative; exceptional organizational and time management skills.
  • Ability to effectively prioritize and execute tasks in a fast paced, high velocity, environment; ability to stay focused on responsibilities, meet deadlines and manage competing priorities under pressure.
  • Ability to drive effective meetings; workshops, design and problem-solving sessions.
  • Able to scale, apply, and adapt project management methodologies and frameworks.
  • Demonstrate and apply strong problem solving, analytical, and conflict management skills.
  • Ability to present ideas in business friendly and user-friendly language; demonstrated aptitude for working with, supporting, and communicating with users and customers.
  • Experience working in a team-oriented, collaborative, shared-services environment, across multiple divisions with a variety of operating environments, application software, tools and technologies.
  • Proficient in MS Project, Word, Excel, Outlook and PowerPoint.
  • 4-year College degree in Information Technology, Engineering or Business; Relevant education and experience will be considered.

Nice To Haves

  • Experience with projects tied to QAD Manufacturing ERP.
  • Experience with projects tied to Red Prairie.
  • Some background and understanding of operational processes in a manufacturing environment; functional competency in manufacturing, distribution and financials.
  • PMP, ITIL foundations, and/or similar certifications.

Responsibilities

  • Manage scope, scheduling of project activities, budget, and quality.
  • Develop and manage project plans and time/cost projections.
  • Create necessary elements of project charter, work plan, and all other relevant documentation.
  • Manage project data and artifacts (tasks, RAID logs, resources, documents, etc.).
  • Collaborate with and manage all relevant stakeholders to maintain the scope, cost, schedule, and quality of projects, while maintaining project objectives and establishing project parameters, budgets, deliverables, and deadlines.
  • Identify project and application dependencies and risks, facilitate meetings and document meeting outputs (agenda, minutes, action items).
  • Inform all relevant stakeholders of key activities and document periodic progress reports summarizing project status, risks, required actions, and timelines.
  • Ensure satisfactory transfer of control of project upon completion (handoff).
  • Coordinate projects under supervision from PMO.
  • Take lead on delegated projects from PMO.
  • Maintain and update project plans, schedules, RAID logs, and status trackers for infrastructure workstreams.
  • Work closely with stakeholders at all levels including business leadership, executive teams, project teams, and business users.
  • Interface with the Shared Services technology team, and with external managed services providers.
  • Interface with Shared Services teams including JD Edwards, business intelligence, e-commerce and EDI, supply management.
  • Track progress of tasks across various implementation projects.
  • Coordinate Daily/weekly standups, technical working sessions and cross team checkpoints.
  • Support Project Managers with reporting milestone tracking.
  • Coordinate hardware procurement, rack/stack activities and datacenter logistics.
  • Assist with Change management processes.
  • Participate in various internal business and technology councils and other groups.
