About The Position

Sevan Multi-Site Solutions is a veteran-owned business providing construction, program management, real estate & site development, and architecture & engineering services nationwide for various sectors. We are seeking a highly organized Project Coordinator to support our Construction Services team on a nationwide big-box retail program. This program involves multiple concurrent construction projects across diverse locations, requiring consistent execution, documentation, and compliance management. The Project Coordinator will be responsible for project documentation, subcontract administration, and closeout processes, allowing Project Managers to focus on execution, client relationships, and financial performance. This is a hybrid role based out of our Plano, TX office. The ideal candidate is detail-oriented, thrives in fast-paced, multi-project environments, and enjoys building structure and process.

Requirements

  • Associate’s or Bachelor’s degree in Construction Management, Business, or related field preferred
  • 2–4 years of experience supporting construction projects in a coordination or administrative role
  • Experience with subcontract administration, including prequalification, insurance verification, and contract tracking
  • Strong understanding of construction project documentation processes including RFIs, submittals, change orders, and closeout packages
  • Advanced organizational skills with the ability to manage multiple projects simultaneously
  • High attention to detail and ability to maintain accurate, audit-ready documentation
  • Proficiency in Microsoft Excel and Outlook for tracking and communication
  • Experience working on multi-site retail, restaurant, or commercial construction programs preferred
  • Familiarity with project management software (e.g., Procore)
  • Experience supporting high-volume, fast-paced project environments

Responsibilities

  • Establish projects in client and internal project management systems (e.g., Procore)
  • Maintain accurate project data, including milestones, status updates, and documentation
  • Coordinate subcontractor onboarding, including prequalification and compliance verification
  • Draft, distribute, and track subcontract agreements, purchase orders, and change orders
  • Monitor insurance, contractual requirements, and compliance documentation
  • Manage and maintain complete, audit-ready project files throughout the lifecycle
  • Track and organize RFIs, submittals, change orders, and other key documents
  • Ensure alignment with client and internal documentation standards
  • Support invoicing processes and track payments to subcontractors and vendors
  • Assist with change management documentation and approvals
  • Coordinate collection and submission of all closeout deliverables
  • Ensure timely completion of punch lists and final documentation
  • Support final payments and project completion requirements
  • Prepare and distribute reports for internal stakeholders and clients
  • Collaborate closely with Project Managers and Senior Project Coordinators to maintain program visibility
  • Handle sensitive project and financial information with discretion
  • Ensure adherence to all program, client, and regulatory requirements
