About The Position

Project Coordinator DeanHouston, one of the largest B2B marketing agencies in the US, is currently looking to add a Project Coordinator to our team. Role Summary As a Project Coordinator, you’ll support the day-to-day execution of marketing projects by managing administrative tasks, maintaining project documentation, and ensuring teams stay organized and on schedule. This role is focused on coordination, tracking and follow-through. You’ll work closely with Client Success Managers (CSMs) to keep projects moving efficiently and ensure nothing falls through the cracks.

Requirements

  • 0–2 years of experience in an administrative, project support, or coordination role
  • Strong organizational and time management skills
  • High attention to detail and ability to follow established processes
  • Ability to manage multiple tasks in a fast-paced environment
  • Clear and professional communication skills
  • Proficiency in Microsoft Office (Outlook, Excel, PowerPoint)

Nice To Haves

  • Experience in a marketing, agency, or client service environment
  • Familiarity with project management tools such as Asana or Workamajig
  • Associate or bachelor’s degree in business, communications, or related field

Responsibilities

  • Maintain and update project information in Workamajig and/or Asana
  • Track project timelines, deadlines, budgets and task progress
  • Ensure all project documentation is organized, complete, and up to date
  • Follow established workflows and processes to support smooth project execution
  • Assist in setting up projects, including timelines, tasks, and file structures
  • Schedule meetings and send calendar invites
  • Share project updates, timelines, and task assignments as directed
  • Follow up with team members on assigned tasks and deadlines
  • Assist with organizing deliverables for internal review and final delivery
  • Support CSMs by handling day-to-day administrative responsibilities
  • Maintain organized records of project activities and communications
  • Assist with routing approvals and tracking feedback
  • Flag potential delays or missing information to the appropriate team members
  • Provide regular project status updates to internal teams
  • Communicate deadlines, updates, and changes clearly and accurately
  • Track basic workflow metrics and project progress
  • Ensure project communications are documented and accessible
