We have an exciting opportunity for a Project Coordinator to join our San Diego, CA office, providing construction administration support across our project management team. This is a great opportunity for a Project Coordinator with 2-4+ years of experience who is highly organized, detail-oriented, and looking to build a career in the AEC industry.

Requirements

2-4+ years of experience in project coordination, construction administration, or administrative support within an architecture, engineering, or construction environment
Intermediate to advanced proficiency in Microsoft Office (Project, Outlook, Excel, and Word)
Strong professional written and verbal communication skills, with a high level of accuracy and attention to detail
Ability to work independently in a fast-paced environment, manage a high volume of assignments and competing priorities, and adapt to changing project needs and deadlines
Demonstrated reliability, accountability, and follow-through in meeting commitments and deadlines
High school diploma or equivalent required

Nice To Haves

Experience with Newforma, Deltek Vantagepoint, DocuSign, or similar project and document management systems
Experience with construction management software such as Procore, Autodesk, Bluebeam Studio, or e-Builder
Customer-service mindset when working with internal teams, external clients, vendors, and office visitors
Associate’s or bachelor’s degree in business administration, construction management, or a related field preferred

Responsibilities

Support project managers from the start of a project through the end which includes all phases of the design and construction process
Route RFIs and submittals to the appropriate project managers, engineers, and designers using Newforma or project-specific construction management platforms
Maintain RFI and submittal logs, monitor outstanding items, and follow up with project teams to support timely responses to clients
Format project specifications, reports, and other technical documents in accordance with client specific requirements
Update, maintain, and distribute weekly task reports to project managers as required
Support contract administration, including document preparation, review, revision, routing, submission, and file maintenance
Prepare review, edit, and distribute subconsultant agreements using DocuSign
Maintain organized and accurate project files, correspondence, contracts, and document management systems
Communicate with clients, subcontractors, architects, owners, local building departments, site superintendents, and other project partners regarding routine project questions and documentation
Prioritize and manage incoming and outgoing project correspondence while supporting multiple project managers and competing deadlines
Serve as a point of contact for the office by greeting visitors, managing incoming calls, coordinating visitor access, and supporting mail, packages, and deliveries
Help maintain an organized, professional, and well-stocked office by monitoring common areas and coordinating general office, kitchen, and visitor supplies
Coordinate meeting rooms, lunch-and-learns, vendor visits, maintenance appointments, and other on-site office activities
Support employee onboarding and offboarding by preparing workstations, issuing and collecting access cards and parking passes, and coordinating the return of office equipment
Maintain accurate office records and shared resources, including keys, access cards, visitor information, supply inventories, and field equipment check-in and check-out
Support facilities and workplace safety activities in coordination with building management, IT, vendors, and the Facilities Manager
